Reporting to the Director of the Student Support Services Program, the Administrative Assistant will provide high-level administrative and operational support for the TRIO Student Support Services Program. The position requires a motivated and highly organized individual who is committed to supporting the success of program participants who are low-income, first-generation college students, and/or have disabilities. The successful candidate will manage office operations, coordinate program events, and oversee record-keeping, reporting, and procurement processes. The individual will also assist with program compliance, ensuring adherence to federal regulations and mandates.  

• Provide high-level administrative support to the Director, including managing calendars, scheduling meetings, and coordinating travel arrangements.  
• Serve as the primary point of contact for internal and external communications, handling correspondence, emails, and phone calls with professionalism and discretion.  
• Oversee daily office operations, including managing office supplies, liaising with vendors, and maintaining efficient workflows.   
• Disseminate information about program services to program participants, staff, faculty, and prospective participants, with a focus on identifying first-generation, low-income, and disabled students.  
• Maintain and oversee accurate and confidential records for program participants in both hard copy and digital formats and collaborate with the Director to track program activities and outcomes.  
• Plan, organize, and manage all logistical aspects of program events and workshops, including cultural and educational trips, meetings, and other special activities for program participants.  
• Assist in documenting student progress and program outcomes. Collect and analyze data for grant reporting, ensuring accuracy and compliance.  
• Prepare forms, handbooks, reports, and publications related to the program.  
• Support the Director with fiscal record-keeping, budget tracking, and maintaining financial documentation.  Manage procurement processes, including processing requisitions and tracking expenditures.  
• Maintain inventory of program equipment and supplies, ensuring timely replenishment.  
• Excellent written and verbal communication skills.

• Demonstrated ability to maintain confidentiality and handle sensitive information.

Education:

Experience:  

• Three (3) years of experience in a professional administrative office environment, which must include the following:
  1. Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software for databases, spreadsheets, and document creation.  
  2. Supporting federal grant-funded programs such as TRIO or working in an educational setting is highly preferred.
