Reporting to the Director of Alumni & Family Engagement, the Assistant Director of Alumni Engagement - Events is responsible for building experiential engagement among alumni with a primary focus on signature alumni events.

• Serves as project manager for new and existing alumni events, with a primary focus on signature events and events that elevate the profile of Ursinus among alumni, including but not limited to: Homecoming, Athletics Hall of Fame, & Alumni Awards
  • • Ensures that goals and objectives for events are clear, and that event plans are aligned with stated goals
    • Confirms and manages budgets for events
    • Facilitates marketing and communications to drive attendance
    • Coordinates event print materials, memos and scripting, in tandem with Marketing Communications
    • Coordinates event vendor relations and facilitates contracts through the contract routing process
    • Manages faculty, staff, and volunteer involvement with events
    • Coordinates event logistics with stakeholders and campus partners, including facilities and campus safety
    • Recruits and leads event planning committees. Involves the committee in post-event evaluation.
    • Prepares for and conducts event briefing meetings for College leadership as requested.
  • Coordinates collaborative efforts to partner with all on campus departments to develop alumni engagement programs and events
    • Provides logistical support, RSVP reporting and tracking, and event marketing support for key affinity-based events, such as athletics alumni events.

Work Environment:

• Ability to sit for long periods at personal computer performing related functions
• Ability to access all event spaces on campus as well as spaces off campus; ability to move quickly from one location to another (for events such as Homecoming that have activities in many locations simultaneously)
• Occasional travel to for conferences, to meet with vendors or to staff college events
• Ability to work evenings and/or weekends as necessary

• Education and Experience: Bachelor’s degree and minimum of 1-3 years of experience in higher education or in event management
• Ability to manage multiple tasks and projects simultaneously with strong attention to detail in planning and execution.
• Excellent oral, written, and interpersonal communication skills are required.
• Strong understanding of event planning, project management, vendor management, volunteer management
• Ability to conceptualize and execute unique event experiences.
• Proficiency in budget planning and management of effective vendor relationships.
• Must show characteristics of adaptability to adjust plans in response to changing circumstances and/or resourcefulness in finding solutions to unexpected challenges.
• Enthusiasm for creating memorable experiences with a strong commitment to the values of a liberal arts college and education.

Technical Proficiency

Familiarity with event management software, proficiency in Microsoft Office suite (Word, Excel, PowerPoint).

Departmental Accountabilities:

• Works collaboratively with colleagues and team members in the Advancement Office and throughout the college. Participates in Advancement Office meetings and other key college staff meetings
• Possesses knowledge and experience with computer programs that support the Advancement Department including Microsoft Office programs and Raiser’s Edge.
