Position Summary:

Responsible for a wide range of administrative and executive support-related tasks for the office of the Vice Provost, Office for Values and Leadership. This will be a hybrid position working 3 days remote, 2 days in the office.

Position Responsibilities:

• Manage day-to-day activity of the Office for Values and Leadership, including answering phones, handling correspondence and managing calendar, and liaising with external and internal stakeholders
• Schedule meetings and appointments, proactively manage the Director's schedule, and serve as the front-facing point of contact with internal and external stakeholders
• Work with other departments to gather information, including research requests and reports
• Make travel arrangements, set meeting locations, and send timely confirmations
• Assist with the preparation of presentation materials
• Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
• Manage budget, procurement, and billing process (requisitions, invoices, payables) for the Center
• Create recruiting and employee transactions in University systems as needed
• Assist with and participate in the planning and execution of events
• Sets up and maintains filing systems, both electronically and physically
• Other special projects and executive support duties as assigned, including communications and preparation of reports

Experience & Education Background:

• Bachelor's Degree or equivalent combination of education and related work experience

Skills & Competencies:

• Warm, outgoing personality
• Familiarity with the Jewish non-profit sector is preferred
• Must be exceedingly well-organized, flexible, and enjoy the administrative challenges of supporting a fast-paced office of diverse people and programs
• Take initiative to anticipate needs as new information arises; be able to handle changes to schedule and priorities with ease and professionalism
• Comfortable learning new programs with proper training
• Must possess strong written and verbal communication skills
• Excellent calendar management skills, including the coordination of complex executive and committee meetings
• Strong knowledge of MS Office, including Outlook, Word, Excel, and Teams

Salary Range:

$27.47 - $30.23 per hour
