JOB SUMMARY 

Reports to the Manager of the School of Nursing Dean?s Office, and under the additional direction of the Associate Dean for Graduate Studies (ADGS), provide programmatic support to the ADGS for graduate programs within the School of Nursing.? This position will provide a full range of confidential administrative and support activities for a variety of educational offerings throughout the school. This position requires the ability to work effectively with a wide variety of diverse individuals, to take direction from internal administrators, and to collaborate with the school?s leadership team.?This position is based at the Storrs Campus.

DUTIES AND RESPONSIBILITIES

• Assists the Associate Dean for Graduate Studies with office duties and with organizing, directing, and assuring continuous quality improvement of key functional areas and missions related to the School?s DNP, MS, and certificate programs.  Provides programmatic support for administrative and organizational matters related to School programs and activities. Assists in planning, carrying out, and supporting related activities, such as meetings, conferences, events, orientations, and ceremonies such as commencement and pinning; monitors approved budget and expenditures, records meeting minutes, coordinates details and makes all necessary arrangements such as travel, parking, room reservation, seating, ordering of supplies/materials, and catering. Provides calendar management, schedules meetings, and room reservations, prepares materials, and manages the Associate Dean?s travel, communications, and correspondence. Supports the ADGS? efforts to drive and facilitate collaboration across sectors of the School and the University, facilitating the involvement of community partners and constituents, as appropriate, to promote the achievement of the school?s academic objectives and to foster program relevancy and improvement.? 
• Responsible for coordinating all aspects of administrative support for the ADGS, supporting their efforts to drive and facilitate collaboration across sectors of the School and the University, facilitating the involvement of community partners and constituents, as appropriate, to promote achievement of the school?s academic objectives and to foster program relevancy and improvement.? Support will include processing paperwork and/or records; reviewing for accuracy, completeness, and compliance with regulations, policies, and procedures; identifying and following up to resolve problems, and referring new, unusual, or difficult problems to the supervisor.  
• Performs routine administrative functions of the office, coordinates workflow, and processes administrative paperwork. 
• Coordinates and carries out similar administrative functions and tasks in support of graduate studies programs as needed or assigned. Serves as a resource to students, staff, faculty, and others on matters relating to administrative procedures. Provides information on finished assignments and tasks to other staff members and supervisors, as necessary.  
• Handles post-matriculation enrollment management support for certificate programs including coordination and tracking of student enrollment and progression, course projections and staffing coordination, running reports, and assisting with academic forms. 
• Coordinates with SON Financial office and CETL for appropriate administrative paperwork in relation to course development.  Assists with the tracking of student fee payments and responds to inquiries from the financial office concerning enrollment and progression of students and expected revenue from the various programs.    
• Supports updates to the Grad catalog through the course activation request (CAR) and graduate program activation request (GPAR) system, as well as oversight of curriculum quality assessment and review and updates in Comp-MS. 
• Support the efforts of the ADGS to broaden participation among members of groups underrepresented in nursing as well as efforts to integrate multicultural experiences into instructional methods and research tools; and in developing pedagogical techniques designed to meet the needs of diverse learning styles and intellectual interests 
• Prepares information and reports, as needed or requested; organizes, compiles, tracks, and maintains records, data, and information in spreadsheets and databases requiring the understanding and evaluation of data sources. 
• In assigned areas of responsibility, review operating procedures for efficiency and effectiveness; make minor changes or recommend major changes or improvements; participate in planning and decisions regarding new or changed procedures. 
• Serves as a first point of contact for the certificate programs (such as Holistic Health, Health Professional Education, and Pain Management); provides administrative support with authority to make decisions within established practices and policies; ensures regulatory requirements are met for certificate programs. 
• May train, supervise, and establish work schedules of clerical or student staff. 
• Assists with scheduling General Exams and final proposal defenses, filing all appropriate Graduate School Required documents NP students and faculty with the Office of Clinical Placement Coordination and the DNP director. 
• Coordinates the placement and onboarding of DNP students and faculty with the Office of Clinical Placement Coordination and the DNP director in a variety of clinical locations including, but not limited to, hospitals, long-term agencies, visiting nurse associations, and federally qualified community health centers. Arranges preceptor and clinical site recruitment for DNP program and acts as a resource to the clinical site supervisor for DNP program.  
• Coordinates clinical activities for the DNP Program, including but not limited to managing the database of clinical sites for the DNP program, updates the database each semester for preceptor availability, level of students, days, and hours each day of availability. Reviews, updates, and maintains clinical placement site data and updates preceptor licenses, CVs, and certificates in an appropriate database such as Typhon or Core-Elms.  
• Facilitates student clinical compliance activities which includes reviewing profiles in American Databank, communicating compliance deadlines and requirements to students, and disseminating information for clinical onboarding.  

 MINIMUM QUALIFICATIONS 

1. Bachelor?s degree or an equivalent combination of education and progressively responsible related work experience.  
2. Two or more years of related professional administrative work experience
3. Experience in managing multiple calendars and related scheduling, including organizing and supporting events and visitor itineraries
4. Demonstrated knowledge of administrative methods and ability to independently resolve problems of ordinary difficulty
5. Proven ability to prioritize and perform multiple tasks simultaneously with accuracy and adherence to posted deadlines in a high-volume, fast-paced environment
6. Excellent interpersonal, organizational, writing, and communication skills, including the ability to build and maintain good customer relationships
7. Must be proficient in the use of computers and have working knowledge and skills in MS Office applications such as Word, Excel, PowerPoint, and Outlook, relational databases, electronic mail, and internet applications such as AdobePro, WebEx, and Zoom.
8. Must be willing and able to work occasional evening and weekend hours in support of School activities and events

PREFERRED QUALIFICATIONS

1. Bachelor?s degree in English, Communication, Management, Administration, or a related field
2. Administrative experience in a higher education environment
3. Demonstrated administrative experience with university systems such as PeopleSoft, Kuali Financial Systems, Jaggaer e-Procurement, Concur, and CoreCT
4. Proven ability to maintain confidentiality concerning financial, HR, and Payroll information and actions
5. Knowledge of and experience working with policies, procedures, and guidelines that affect faculty and students
6. Demonstrated event management experience.
7. Demonstrated ability to regularly exercise judgment regarding administrative detail and procedures
8. Demonstrated work experience with data management and record keeping, and the ability to exercise attention to detail to ensure accuracy

APPOINTMENT TERMS
