Job Description Summary
The Program Coordinator in the Institute for Translational Medicine and Therapeutics (ITMAT) is responsible for independently coordinating, planning and managing the logistics related to the named lectures, special workshops, national and international symposia, and site visits with national and international organizations pursuing programs similar to ITMAT as well as recruitment efforts sponsored by the Institute for Translational Medicine and Therapeutics.

This position is responsible for independently coordinating, planning and managing the logistics related to the named lectures, special workshops, national and international symposia, and site visits with national and international organizations pursuing programs similar to ITMAT as well as recruitment efforts sponsored by the Institute for Translational Medicine and Therapeutics. This includes contacting external constituencies of importance, developing an agenda to meet with internal individuals, coordinating travel arrangements, developing marketing materials related to the events, and managing and reconciling expenditures. This individual is also responsible for compiling complex material for large grant submissions which includes complying with the PMCID regulations, preparing and maintaining NIH Biosketches, and solicitation of relevant materials for large scale, multi-disciplinary, multi-institution grant proposals. This position is responsible for maintaining and updating the Institute's websites which is comprised of over 750 pages and maintaining the Institute Listserv. In addition, this individual will provide financial and administrative support to the Chief Operating Officer for Clinical and Translational Science and Corporate Alliances and will serve as a backup to the Executive Assistant for the Chair/Director. The individual will be responsible for the coordination and management of ITMAT's pilot grant programs and all tracking mechanisms for reporting to the PSOM administration and the NIH. The position will be responsible for purchasing transactions for the Institute.

Job Duties:

• Coordinates, plans, and manages the logistics and finances related named lectures, workshops, seminars, site visits and symposia (national and international) sponsored by the Institute for Translational Medicine and Therapeutics. This includes contacting external constituencies of importance, developing an agenda to meet with internal individuals, coordinating travel arrangements, developing marketing materials related to the events, and reconciling expenditures.
  
• Compiles complex material for large grant submissions which includes complying with the PMCID regulations, preparing and maintaining NIH Biosketches, and solicitation of relevant materials for large scale, multi-disciplinary, multi-institution grant proposals. Reviews RFA's and develops checklists for all components of the submission.
  
• Maintains and updates the Institute's websites which is comprised of over 750 pages. This entails interacting with the key stakeholders on a weekly basis to update and develop new content and pages.
  
• Provide financial and administrative support to the COO and will serve as a backup to the Executive Assistant for the Chair/Director
  
• Process all purchase order requisition requests in Ben Financials, as well as address financial inquiries/concerns for staff. This includes following up on payments to ensure they have been processed fully and checks have been received by vendors in a timely manner. Processes non-PO requests which includes payment to vendors, employee reimbursement, human subject payments, etc..
  
• Manages the pilot grant process for all ITMAT pilot grant submissions; reviews applications to ensure all items have been submitted complying with directions; follows-up on outstanding items; compiles data for review committee; tracks and maintains all data for all pilot grant calls.
  
• Manages conference room calendars and archiving process.
  
• Perform additional duties as assigned
  

Qualifications:

Bachelor's Degree and 2-3 years of experience or an equivalent combination of education and experience required.

Targeted Pay Range: $25/hr-$27/hr

This Targeted Pay Range is only applicable to this job posting. All salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
