The Program Coordinator for Strategic Support is a member of the Strategic Support Team that provides administrative assistance to an assigned research center(s) and its personnel, and special projects as needed. This role supports the AI-enabled Systems: Safety, Explainability and Trustworthiness (ASSET) Center: its Director, Principal Investigators and their research teams, and manages the center's operational needs as a floor captain at Amy Gutman Hall at 3317 Chestnut Street.

Job Responsibilities

• Provide general administrative support to Faculty Directors, Principal Investigators, and research team members, relative to the ASSET Center.
• Schedule and organize ASSET meetings, visits, symposia, and other events; secure venues, manage speaker invitations, advertise symposia and other events; manage registrations, organize programs, arrange catering, and handle speaker/visitor travel arrangements and reimbursements, as required.
• Manage ASSET's office space; submit facilities service requests; order and replenish supplies; greet guests, and serve as a general resource to a variety of constituents, including faculty, students, and visitors.
• Manage ASSET communications; maintain websites and social media accounts; and prepare marketing materials to improve the center's visibility.
• Assist with preparing grant proposals (managing files, formatting documents, communicating with Investigators, Key Personnel, and Penn Engineering Research Services).
• Monitor expenditure of funds. Work with Penn Engineering Financial Services regarding expenditures.
• Other duties and responsibilities as assigned

Qualifications

• Bachelor's degree and a minimum of two years of related administrative experience or an equivalent combination of education and experience. Demonstrated excellent verbal and written communication, interpersonal, and organizational, and Microsoft Office and other computer skills.

Coordinators designated as floor captains are required to be on-site 5 days per week.
