Position Summary

The Digital Future Initiative (DFI) is a new initiative launched at Columbia Business School to help organizations, governments, and communities better understand, leverage, and prosper from future waves of digital disruption. The initiative will bring together faculty members from Columbia Business School and Columbia University with corporate leaders from across industries to help organizations, governments, and communities optimize and accelerate the technological advances of the future.

Reporting to the Administrative Director for the Digital Future Initiative, the Assistant Director is responsible for the administration and management of the Initiative???s events, communications, and operations, and will work strategically to engage internal and external stakeholders with the activities of DFI. The Assistant Director will be responsible for working independently and collaboratively to manage the various activities of the Digital Future Initiative.

Responsibilities

• Manages the overall planning and execution of DFI events and activities: Reserves event space, liaises and engages speakers/participants; develops and manages website and registration; conducts speaker research and communications; develops events collateral and presentations; executes marketing activities; crafts participant experiences; works with internal and external vendors; provides assistance with speaker travel and accommodations; provides on-site management; crafts post-event follow-ups, tracks attendance metrics and other related activities.

• Prepares, tracks, maintains and reconciles financial records (e.g., expense reports, invoices, purchase orders, and receipts) in conjunction with the Director.

• Processes and tracks travel, expense reimbursements, and monetary prizes for faculty, researchers, visiting scholars, guest speakers, and others.

• In collaboration with the Faculty Directors, Administrative Director, and Marketing and Communications, the Assistant Director crafts consistent and compelling communications collateral for DFI across all platforms. Ensures consistency in messaging and branding to drive broader awareness of its work and promote key organizational priorities to support its goals.

• Manages the internal communications of the program in collaboration with the Administrative Director, including drafting the minutes of advisory board meetings (2x/year); assists with reports and communications with the Advisory Board; prepares program reports for key stakeholders etc.

• Manages and improves the DFI website to populate and maintain website announcements and events pages and keeps them up to date; optimize search capacity resulting in increased ranking, traffic, and overall engagement.

• Supports the teaching and research of the faculty directors and assists Center-related visitors with a range of administrative needs. 

• Supervises, hires, and trains work study students and temporary staff.

• Performs related work and special projects as needed.

Minimum Qualifications

Bachelor???s degree and/or its equivalent required. Minimum 2-4 years related experience required. 

Excellent writing and editing skills required. Must have strong technical skills, including proficiency in Microsoft Word, Excel, and PowerPoint. Web Design and content coordination experience necessary. Project management experience, including employing appropriate digital tools, also preferred. Must be well organized, detail oriented, and work well under pressure, and be able to manage multiple responsibilities simultaneously in a high-volume operation. Must be able to work independently and take initiative and responsibility for complex tasks. Ability to exercise good judgment and prioritize and carry out tasks with minimal supervision a must. Must be able to communicate effectively with diverse groups including faculty, students, and staff. Must be able to work with diverse constituencies and support an inclusive work environment.
