SUMMARY OF POSITION: Reporting to the Vice President of Advancement & Alumni Relations, the Director of Advancement Services is the senior advancement services officer for the division of Institutional Advancement. S/he is responsible for information services, database management, campaign reporting, and budget oversight for the entire division. The Director of Advancement Services oversees all gift and pledge accounting functions within the guidelines of federal, state, and local laws and university and departmental policies and procedures.
ESSENTIAL DUTIES/ NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:
Strategy and Leadership (40%)
- Provides leadership and direction to all advancement services aspects of university advancement to ensure maximum efficiency in processing gifts, running gift reports and database queries, and providing meaningful donor stewardship.
- Serves as the division's principal liaison with the Office of Business and Finance.
- Serves as the principal liaison with the Office of Information Technology and works closely with this office to ensure maximum performance of the Donor Perfect and Jenzabar EX database as well as the availability to donors of online giving through the university's website.
- Works collaboratively with Directors of Development, Alumni Relations, and Communications to advance overall goals of the division.
- Supervises a team of advancement services professionals.
Project Management & Oversight (40%)
- Prepares the annual donor report in close collaboration with the Vice President of Institutional Advancement & Alumni Relations, Associate Vice President of Institutional Advancement, the Director of Annual Giving, the Director of Alumni Relations and Advisory Boards, and the Director of Donor Relations.
- Oversees processing of all gifts to the university and gift receipts and acknowledgements to donors. Ensures that these processes occur in a timely fashion and in accordance with federal and state guidelines as well as the highest professional standards.
- Prepares and executes database queries to create mailing lists for college publications produced by the Office of Communications (e.g., Converse Magazine).
- Collaborates with the Office of Donor Relations to oversee preparation of annual narrative and financial reports to donors on their endowment and expendable funds.
- Ensures accuracy and confidentiality of donor records.
- Guides process of research, profile building for philanthropy
- Manages philanthropy prospects through the giving cycle.
Reporting and Asset Management (20%)
- In collaboration with the Vice President for Institutional Advancement & Alumni Relations, develops and maintains guidelines, procedures, and policies to ensure the integrity and utility of data for Advancement operations, and designs and completes all campaign, gift, and donor reports.
- Works closely with the Office of Business and Finance on donor- and gift-related portions of the university's annual audit.
- Oversees pledge process to include reconciliation and reminders.
- Provides staff training for the Donor Perfect database.
- Compliance with the university's Service Expectations.
- Other duties as assigned by the Vice President for Institutional Advancement & Alumni Relations.
MINIMUM JOB QUALIFICATIONS:
- Bachelor's degree related experience in an area such as alumni development, fundraising, prospect research, or business development
- Four years' experience in computer database management within the nonprofit environment
KNOWLEDGE/SKILLS/ABILITIES:
- Proficient with Microsoft Word, Excel, Google Drive, and Gmail
- Strong interpersonal communication skills
- Organization and ability to prioritize tasks

GUIDELINES AND SUPERVISION: Minimal supervision required. Independence and discretion to do the job are expected for this position. This position reports to the Vice President for Institutional Advancement & Alumni Relations or other designated person and works with donors, campus constituents, other development staff, and alumni and donor relations staff, including but not limited to the Director of Annual Giving, Director of Donor Relations, and Director of Alumni Relations and Advisory Boards.
Work Schedule: The university's operating hours are Monday through Thursday 8am -5pm and Friday 8am through 1pm. This position will operate under the standard business hours of Converse University.
