Development Coordinator

The Office of Development (OOD) supports the goals and purposes of Stanford University. OOD staff members, working in concert with academic leadership and volunteers, strive to enhance, over the long-term, useful gift support to Stanford. In the process, development staff establish and nurture relationships with students, alumni, parents, friends, corporations, foundations and associations. Stanford University is committed to a donor-centric approach to development. Every member of the OOD staff plays a role in providing the university's donors with the service and attention that ensures an exceptionally positive and fulfilling philanthropic experience.
Under direct supervision, the Development Coordinator will provide administrative and routine support to fundraising programs and activities. Work with front-line fundraising staff, donors, volunteers, and other university staff to assist in establishing and maintaining relationships with all university constituencies.
Core Duties:
Administrative Management - 40%
- Planning and scheduling complex calendars and resolving calendar conflicts with limited or no consultation.
- Negotiating and managing the needs of individuals or teams requesting time with the gift officer, independently committing their time.
- Tracking on key dates across the organization and institution.
- Preparing agendas, taking meeting minutes, booking conference rooms, providing AV setup, and tracking on post-meeting follow up as needed.
- Coordinating mailings to prospective and established donors.
- Verifying and processing financial reimbursements for the team.
- Maintaining inventory of office supplies as needed.
- Organizing electronic file management for gift officer.
- Building a network of relevant contacts, and staying informed of current university initiatives and activities.
Prospect/Donor Data Management and Tracking - 40%
- Retrieving, reviewing and updating information about prospects and donors; requesting assignments, and generating reports using the university external relations database.
- Reviewing, tracking, and reporting on funds and gifts.
- Attending, tracking and participating in quarterly check-in meetings with partner teams.
- Assisting in the design, publication, and production of fundraising materials. Examples include correspondence, faculty bios, briefings, and stewardship letters.
Event Support - 10%
- Reviewing potential list of attendees for events with gift officers to ensure strategic attendance.
- Supporting program managers and gift officers in the planning, implementation, and coordination of events not supported by our internal events management team. Could include coordination of event planning meetings, tracking attendees, catering, restaurant reservations, and on-site support such as attendee check-ins, directions, equipment set-up, and event parking.
- For events supported by the internal events team, the development coordinator partner may: take notes and track high-level action items and agreements, schedule meetings with faculty, add key deliverable dates to the gift officer's calendar, create and update prospect records, schedule pre- and post-mortem event meetings.
Special Projects - 10%
- Coordinating travel for faculty and gift officers as needed for donor visits and/or conference attendance.

To be successful in this position, you will bring:
- * Bachelor's degree and one-year experience or combination of education and experience.
- * A demonstrated ability with Microsoft Office suite, especially Word and Excel.
- * Knowledge of database systems, such as Microsoft Access, Raiser's Edge, Salesforce.
- * The ability to work efficiently, meet deadlines, and achieve goals.
- * The ability to multitask and prioritize quickly and professionally in response to requests.
- * Excellent interpersonal skills and ability to interact with a wide range of people.

Physical Requirements:
- * Frequently perform desk-based computer tasks, sit, stand/walk, and use a telephone.
- * Occasionally light/fine grasping, lift/carry/push/pull objects that weigh up to 10 pounds, writing by hand.
