Reporting directly to the Vice President for University Advancement, the Administrative Assistant to the Vice President for University Advancement provides executive-level support to advance the university’s mission through effective, efficient, and strategic support of the Vice President’s priorities and vision for the division. The administrative assistant is an excellent communicator, has an ability to work independently, works under pressure at times, and maintains a high degree of confidentiality. Well-developed interpersonal communication skills and a focus on customer service are a must for serving as liaison for the Vice President with individuals from all constituencies including trustees, donors, alumni, parents, faculty, students, and staff.
Essential Duties and Responsibilities:
Assists the Vice President in conducting day-to-day operations of the university advancement division, including preparation for meetings, multi-media presentations, scheduling and organizing meetings and events, entering data and executing reports in constituent database (Raiser's Edge NXT).
Maintains the Vice President’s calendar of appointments.
Serves as the Assistant Secretary to the Board of Trustees.
Assists the Vice President with the Board of Trustees Advancement Committee. Helps prepare meeting materials and takes minutes. Transcribes minutes for approval by the Vice President and provides copy to the secretary to the Board of Trustees.
Leads the effort to provide accurate and timely briefing materials for the President, Vice President and other key university academic and administrative leaders in support of travel and university advancement events
In coordination with staff in the Office of the President, maintains a schedule of Presidential events and travel. Manages office deadlines to ensure meeting preparation is on time and reviewed for accuracy.
Drafts and/or proof-reads executive level correspondence prepared for President's and Vice President's signatures. Assists in the process of documenting financial commitments from donors to the university.
Assists in executing donor stewardship (e.g. timely acknowledgement/recognition of donors and gifts as appropriate through mail, email and phone; sending pledge reminders to donors; etc.)
Tracks and reports monthly budget-related activities and expenses of the Office of the Vice President.
Maintains organizational chart for University Advancement and updates relevant university offices.
Minimum Required Qualifications:
Bachelor’s degree preferred
5 years of professional experience supporting senior-level personnel
Strong and effective organizational skills, including calendar management and maintaining physical and electronic records and files.
Ability to anticipate the needs of others and coordinate resources accordingly, assessing, compiling, and disseminating information as required.
Demonstrated proactive approaches to problem-solving with decision-making capability.
Proven ability to protect and maintain confidentiality of information.
Excellent communication skills with proficiency in grammar and proofreading.
Skilled in Microsoft and Google programs, including Windows and Drive, Word and Docs, Gmail, Excel and Sheets, and PowerPoint and Slides.
Ability to prioritize one’s work and adjust to a dynamic environment with minimal supervision.
Willingness to actively demonstrate support for diversity, equity, and inclusion, and participate in fostering a respectful, positive work environment that welcomes all persons.
Willingness and aptitude for learning new computer software and other systems.
Effective interpersonal skills with a high level of professionalism, integrity, diplomacy, and judgment.
Previous experience with databases, preferably Raiser’s Edge NXT or other Blackbuad database system.
Experience proposing and implementing new processes to increase efficiency and reduce costs.
Demonstrated successful experience working to enhance diversity and inclusion.
