HR Operations (50%): • Oversee undergraduate students, temp/casual, and graduate research assistant employee appointments for the Department of Pediatrics and the Department of OBGYN & Women’s Health. • Provide direction to hiring units regarding appointment types, appointment classifications, posting requirements, and the hiring process. • Review hiring forms to determine I-9 status and overall employment eligibility. • Consult with HR team member(s) on the resolution of complex questions regarding policy, procedures and HR issues. • As part of OP Administrative Center’s HR team – provide backup and cross-coverage for all employee groups as needed. • Attend department meetings and serve as representative for Departments of Pediatrics and OBGYN & Women’s Health on HR work committees.
Reporting and Data Administration (40%): • Prepare and distribute reports to HR staff as part of routine department auditing activities. • Monitor HRMS Data Exceptions and resolve discrepancies • Audit biweekly payroll abstracts and report potential discrepancies to appropriate HR staff member. • Prepare ad hoc reports for business partners at the direction of HR staff using various tools (e.g. Reporting Center, People soft query viewer). • Maintain department spreadsheets, which includes: o Ongoing data entry o Periodic data auditing o Providing HR staff with data upon request • Participate in documentation retention efforts such as: o Document imaging o Periodic auditing of department network drive • Update employee information in the HRMS system for update into the University’s directory.
Administrative Support (10%) • Prepare department communication, which includes (but is not limited to): o Template email communications o Offer letters of employment to students, temp/casual and graduate student employees o Department forms related to payroll (e.g., overpayment forms) • Proofread documents; make formatting updates, and review for spelling and grammatical errors. • Submit payroll updates and off cycle requests to Central Payroll on behalf of HR staff. • Schedule meetings for HR staff; obtain and/or prepare documents for meetings. • Assist in monitoring department email account. Respond to general customer service inquiries when appropriate and route complex issues to department staff. • Outreach via telephone and email to schedule I-9 verification appointments for new student, temp/casual and graduate assistant employees in a timely manner. • Ad hoc correspondence via telephone or email per HR Staff member request
Salary Range $20.38 - $30.43
This is a one year temporary staff position with the possibility to continue contingent upon the availability of funds and/or work for the position.
Candidate must reside in Minnesota.

Required Qualifications: • High School Diploma/GED and five years related experience to include project/program management. Coursework in a related field may substitute for some years of experience. • Excellent written and verbal communication skills. • Proficiency with Google Applications (including Calendar, Drive, Documents, and Forms). • Proficiency with Microsoft Office applications. • Prior data entry experience (spreadsheet and database entry). • Ability to prioritize and multi-task in a fast-paced environment. • Experience handling highly confidential information. • Ability to work both independently and as part of a team.
Preferred Qualifications: • Previous People Soft HRMS experience. • Prior University of Minnesota experience. • Prior exposure to payroll and HR working environment.
