Provides administrative support to the Assistant Vice President of Research and Innovation (AVP), which includes, but is not limited to collecting, interpreting and summarizing information; drafting correspondence, reports and other documents; scheduling and maintaining AVP's calendar for optimal time management, and managing travel arrangements; performs the administrative tasks needed to assist with and coordinate the operational and logistical activities of the office of the AVP for the Office of Sponsored Programs (OSP) and Contract and Grant Administration (CGA), which includes but is not limited to assessing needs and managing the requisitioning of supplies, equipment, and services for the offices; coordinating and implementing renovations projects and maintaining and overseeing the facilities; researches issues and gathers and prepares supporting information for reports and meetings and follows up on outstanding projects and activities as needed; assists with development of day to day administrative procedures associated with the operation of the entire unit; performs other duties in order to ensure work completion, which includes, but is not limited to providing support to Directors and others.
Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education with course work in word processing, typing, shorthand, and grammar; five to eight years of related and progressively more responsible or expansive University work experience in maintaining account ledgers, word processing, spreadsheet, database, and presentation software; editing, composing correspondence, taking dictation; or an equivalent combination of education and experience; person must be able to legally work with export-controlled information.
Customer oriented with excellent communication skills, both written and oral to effectively interact with University officials/staff; detail oriented; self-starter, follow through on tasks, strong organizational skills to be able to manage/coordinate/prioritize multiple tasks while maintaining daily activities and appropriately responding to matters of urgency; able to work successfully with a variety of constituencies in an educational institution, exercising discretion, integrity, and professionalism; effective problem-resolution skills to address/resolve complex issues related to business operations and services; experience with the Kuali Financial System, SAP and Business Intelligence reporting system or equivalent systems.
