A 5-month temporary position to support the Office of Postdoctoral Affairs (OPA). This position would work with department administrators for postdoctoral appointments and reappointments, ensuring all postdocs across Vanderbilt University and Vanderbilt University Medical Center have active appointments. This position would also provide communication and event/programming support as needed.
About the Work Unit:
OPA is responsible for planning and managing programs and services for Vanderbilt's postdoctoral community. OPA supports Vanderbilt-affiliated postdocs, as well as faculty and staff administrators who work with the postdoctoral population. OPA is the central resource for postdoctoral services and serves as a liaison among postdocs and central University administrative offices. OPA also works closely with the Vanderbilt Postdoctoral Association (VPA) , formally known as the Postdoctoral Association (PDA), to address the interests and concerns of postdocs.
Key Functions and Expected Performance:
Work with department administrators to issue postdoc appointment and reappointment letters
Update postdoc data in University systems daily
Maintenance of shared office inbox
Assist in preparing communications to the postdoc community, such as the monthly newsletters or event reminder emails
Coordinate with the Assistant Director and/or the Vanderbilt Postdoc Association on events and programming for the postdoc community
Assist with the annual Postdoctoral Symposium as needed
Attends OPA weekly staff meeting, weekly meetings with the Assistant Director, Graduate School staff meetings, and campus partner meetings as necessary
Participates in conversations on MS Teams and email
Works with colleagues to address time sensitive issues
Supports full-time and is in-person/on-campus
Other duties as assigned
This position reports administratively and functionally to the Assistant Director of the Office of Postdoctoral Affairs and does not have supervisory responsibility.
Education and Certifications:
A Bachelor's degree from an accredited institution of higher education is preferred .
Experience and Skills:
Experience with Microsoft Office, especially Excel, is necessary.
Ability to work on detail-oriented projects is necessary.
Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse university community is necessary.
Ability to work independently is necessary.
