The purpose of this position is to provide timely and excellent administrative leadership and executive support to the Vice Chancellor, Community & Government Relations; and to provide general administrative support for the Communications and Community & Government Relations control points and their departmental units. The incumbent reports to the Director of Office Operations, is a member of the shared services administrative team that supports the Offices of Communications and Community & Government Relations, and will be cross-trained to perform multiple responsibilities that enable the mission of each office to be carried out in a professional and timely manner.
Under the general supervision of the Director of Office Operations and the Vice Chancellor, the Executive Assistant provides comprehensive administrative leadership and support in accomplishing department-based goals of the Vice Chancellor. The incumbent serves as the primary contact for activities and projects by applying knowledge of program areas and control point and enterprise priorities; effectively manages the Vice Chancellor's calls, complex calendar, files, mail and travel arrangements; schedules and attends meetings and maintains current information on boards or committees in which the Vice Chancellor serves as a member or chair through organization and responsibility; prepares background material on projects, assists with department recruitments in collaboration with departmental managers and the Director of Office Operations, provides quarterly financial reports to the Vice Chancellor in collaboration with the Director of Office Operations, establishes and implements office procedures in collaboration with administrative team colleagues, maintains department P-Card and prepares, proofs and manages electronic filing materials and communications on behalf of the Vice Chancellor.
The incumbent will also work independently, and at times collaboratively with administrative team colleagues when appropriate, to oversee department website content and updates; serve as the point person for administrative and operational matters related to legislative aides meetings, developing/drafting annual meeting schedule and agendas and meeting packets; gather and distribute meeting materials, record meeting minutes, oversee printing projects; develop familiarity with processes, track community inquiries, and perform other duties as assigned.
