JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Registrar provides strong leadership and oversight for the development, implementation, management of activities, and systems related to academic records, student registration, academic scheduling, degree audits, grades, and the Banner (Student Information System) records and registration modules. This position manages and directs all phases of the Office of the University Registrar and provides and maintains accurate information on all university academic programs and courses, clinical rotations, internships, and externships. The Registrar implements and interprets relevant academic policies, is responsible for veteran education benefits, and participates in local, state, and national professional organizations.
DUTIES AND RESPONSIBILITIES:
Provides an effective structure through communication, management of technology, analysis and design of rules that define the graduation automated degree checking.
Manages and provides reporting of accurate and timely student enrollment information and data to internal constituencies, THEC, the UT System, US Department of Education, and other state and federal agencies. Supervises and maintains the accuracy of all student and related academic records.
Reviews university policies and procedures, interprets FERPA, HIPAA, and other federal and state laws related to privacy and student information to ensure compliance
Maintains and updates academic curriculum and course information.
Establishes short and long-range goals, objectives, policies, operating procedures, and effects change required for improvement.
Supervises staff to effectively accomplish and respond to issues and requests from faculty, staff, students, and alumni. Reviews departmental workload distribution. Conducts staff performance evaluations.
Ensures accountability by maintaining a working knowledge of regulations, standards, procedures, codes of ethics and policies, as set forth by the UTHSC, UT System, program accrediting bodies, THEC, TN Residency regulations, Banner, AACARO, SACRAO, TACRAO, and the US Department of Education.
Coordinates the academic calendar with the UTHSC Colleges, Bursar's Office, Financial Aid, and academic leaders.
Trains and provides learning opportunities for faculty, staff, and academic leaders to ensure efficient transfer of knowledge, use of the student information system's academic records modules or related technology, and updated student records policies, laws, regulations.
Works closely with the Offices of Admissions, Financial Aid, and Bursar to evaluate and ensure the accuracy of student residency changes for enrollment, tuition, and financial aid purposes.
Practices effective problem solving with faculty, students, staff, academic leaders, alumni, and state/federal higher education agency personnel in responding to reporting requests, and interpretation of policies/laws/regulations. Works with staff daily to resolve problems encountered by students, faculty, and alumni.
Implements proactive and innovative solutions through strategic planning and communication with UTHSC colleges and departments to reduce reoccurring issues and problems encountered by UTHSC constituencies.
Oversees registration and course scheduling and prerequisite checking across campus, degree audits, grade processing, and veteran/military educational benefits.
Develops and implements, as well as oversees, the management and monitoring of data integrity in areas such as code entries, electronic grade entry, and authorization data entries inputs.
Oversees, coordinates, and manages areas such as veterans' education benefits, articulation agreements, student orientation, transfer student information, registration, end of term grades, transcript requests, enrollment verification services including the establishment of National Student Clearinghouse submission schedule, and the official census day reporting in conjunction with IT/IR.
Serves on academic, student affairs, search, and related committees.
