Department Specific Description & Responsibilities: Provides administrative support to the Dean of the campus by managing complex and daily operations of the executive office. Responsible for providing support to the executive operations by coordinating, directing, and managing special programs, functions, and activities. Coordinate/participates in external events in accordance with system/campus-wide expectations. Represents the Dean and/or campus as an administrative liaison to internal and external constituents.
Provides administrative support to the Dean, including but not limited to managing calendars and schedules, meeting coordination, travel and logistical arrangements, and coordinate project-based work. Prioritize, prepare, edit and resolve internal and external correspondence, including phone calls, mail, and email. Prioritizes and resolves situations involving internal and external constituents, brings resolution to inquiries and/or delegates appropriately. Anticipates needs of the Dean and manages unique office situations. Serve as liaison for the Dean to staff, faculty, students and internal/external constituents. Work to problem solve and bring resolution to inquiries including investigating policy for Dean's review. Provides information to employees regarding benefits, policies and procedures. Manage facility rentals and space usage requests in consultation with the Manger of Maintenance and Operations. Supervise and train student employees in the Dean's Office. Using advanced knowledge and expertise, provides guidance and direction to administrative support staff in their day-to-day operations. Interprets policies and procedures to make decisions and perform work in accordance with professional standards. Exercises sound judgment in dealing with confidential information both internally and externally and maintains the appropriate level of discretion. Serves as back up for other staff as needed.
Plans, facilitates and/or implements projects, special events and/or programs, i.e. Regional Coordinating Council, Dean's Cabinet, campus forums, The Board of Trustees, Honors Convocation, United Way campaign and other events and receptions. This position also serves on campus committees as appropriate.
Maintains complex records and databases, such as personnel information, Dean's List recipients and notification letters. Maintain a database of donors and alumni. Update Policy and Procedures Manual and Emergency Operations Plan and Business Continuity Plan. Prepare complex travel arrangements including registrations and travel expense reimbursements. Process and reconcile purchasing card transactions. Process payments in BobcatBUY.
Responsible for activating the Ohio University campus emergency notification system in the event of a campus emergency or inclement weather, and notifying appropriate staff members. Perform other duties as assigned.

Oversees planning unit administrative processes and coordinates internal and external communications.
Coordinates multifaceted calendar of appointments including the determination of appropriate meeting length, location, and participants.
Coordinates or completes special projects. Represents executive in meetings and/or committees. Acts in the absence of administrator to perform high level administrative duties.
Researches and analyzes complex problems and provides recommendations for resolution.
Develops and monitors protocol for handing and maintaining confidential materials.
Prepares and monitors budget and other financial documents for a planning unit. Maintains accountability for budget expenditures.
Knowledge of technical and practical administrative concepts, processes, and methods typically obtained by a high school degree or GED or equivalent and a minimum of 5 years administrative support experience. An equivalent combination of education, training, and experience is acceptable.
Specific knowledge, certifications, and licensure will apply at the position level.
