Towson University Child Care Center is accepting applications for an Administrative Assistant II. The Administrative Assistant II under general supervision, provides business management services to the University Child Care Center. Responsibilities include entry level professional work in a combination of business operations such as finance and budget, human resources, procurement and record-keeping.
Receive and process childcare contracts. Calculate and generate appropriate billing for tuition. Submit bills through online approval system to Bursar's Office, received and process tuition payments in accordance with university and Bursar's Office policies.
Coordinate observations or service learning opportunities to students and colleges on campus. Communicate with professors and students and maintain TutorTrac system.
Serve as timekeeper for regular teaching staff as well as student employees.
Maintain records of enrollment for all families and employment for all staff.
Maintain departmental procurement card in accordance with university policies and procedures.
Oversee breakfast/snack menu preparation and order supplies and snacks as needed. Monitor and update departmental inventory, budget and account records. Order supplies, materials, equipment, repairs and services. Maintain and report milk counts per MSDE MARS program requirements.
Provide administrative support to the director and assistant director and serve as first point of contact for parents, visitors and guests. Includes but is not limited to: greeting parents at drop/off, answering phones, distributing communications to families and other duties as assigned.
Assign and track parking permits for families in conjunction with Parking & Transportation Services. Request permits when needed, record annual permits issued and submit to Parking & Transportation.
Successful candidates will...
Have a high school diploma or equivalent
Have 3 years of related job experience
Possess working knowledge of bookkeeping principles, mathematical methods and techniques and have skill in performing basic mathematical computations.
Be able to organize and prioritize multiple assignments.
Be able to communicate professionally and effectively with parents, small children, professors and staff as position is representative of the center.
Be computer literate and possess the ability to learn campus software such as Microsoft Office, PeopleSoft, Bursar's online billing system
Possess the ability to organize and maintain accurate records and reports.
Previous work experience in an educational setting
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
