The Alumni Association of the University of Michigan (AAUM) is seeking an Alumni Education & Digital Events Assistant to join the Alumni Engagement team that is an integral part of the AAUM’s strategic plan. The team is focused on engaging alumni around their success for a lifetime and connecting them to each other and the University. Provide administrative support for the alumni education team and events team (specifically digital event support).
Characteristic Duties and Responsibilities:
Digital Event Support
Create and execute virtual events in Zoom; pull pre- and post- event reports; provide live event support; edit recording within platform, execute post-event communication via Zoom
Understand and implement technical requirements for each event, ensure appropriate set-up, testing and troubleshooting occurs
Attend pre- and post- event meetings (such as practice session(s) and debrief)
Alumni Education Support:
Assist with the management of the Alumni Education Gateway (AEG) including content review and upload, feeds, content identification and curation, editorial and proofreading oversight
Gather metrics and make reports
Execute schedules of content gathering including identifying relevant content for distribution
Work with the marketing and communications team to ensure all promotions are ready to deploy in a timely manner
Communicate with University Partners (internal and external) making sure partners are aware of editorial calendar, topics, request for content and gathering submissions, reporting on the success of campaigns
General Duties and Responsibilities:
Provide organizational leadership by demonstrating AAUM core values: All In, Serving Heart and Solution Seeker, and helping other staff members demonstrate those values.
Value and embrace different identities and diversity of thought recognizing that everyone has unique and different experiences that contribute to the best solution seeking and success for AAUM.
Work with AAUM staff members to gain a clear and consistent understanding of the details of the strategic transformation and feel equal ownership of every piece of it, including pieces for which there is no direct responsibility.
Be inclusive and collaborative with every other member of the staff and every other team. Operate as a critical contributing member of the staff to complete objectives in many different areas in order to move the whole organization toward strategic transformation.
Support University Relations efforts by demonstrating AAUM value to campus units/partners (i.e., schools/colleges, campuses).
Participate in Salesforce Superuser Group; participate in weekly meetings about SF and the Events module.
Provide staff leadership and support for AAUM activities and events as necessary.
Provide appropriate support to the Alumni Association’s Board of Directors and its committees.
Complete special projects as assigned or required.
Participate in Alumni Association and University of Michigan committees as required.
Participate in appropriate team and staff meetings.
Remain knowledgeable about current trends and proficient with new technologies/resources.
Share knowledge through internal communications.
Represent the Alumni Association at University and Alumni functions as needed.
Support the Alumni Association strategic vision.
Direct supervision is received from the Event Coordinator and Alumni Education Manager.
May coordinate the work of some temporary staff/students.
One + years of professional or relevant work experience in program development within higher education, student services, or other related fields is required or equivalent combination of education and experience.
Demonstrated ability to work in team environments.
Proficient in Microsoft Office/Suite (Excel, PowerPoint, etc.), Google Suite and Box file sharing service
An interest in or experience with engagement and communications including curation and engagement
Demonstrated commitment to high quality customer service and high levels of productivity.
Excellent interpersonal, organizational and communications, including ability to bring ideas to the team.
Exemplary ability to follow deadlines
Salesforce CRM familiarity is beneficial
Familiarity Google analytics and social media, management of dashboards
Familiar with wordpress or other publishing platforms
Experience with analytics and reporting metrics
This position may require some evening and weekend work.
