Rutgers, the State University of New Jersey is seeking an Administrative Analyst V for the Clinical Trials Office (CTO) within the Rutgers Institute of Translational Medicine and Science (RITMS). Under direction from the RITMS Business Administrator, the Administrative Analyst V will assist in all aspects of the financial management including forecasting/modeling, accounting, reporting, and financial analysis. This position will be responsible for the post award administration tracking for various projects, and it will include preparing monthly analysis reports, actual versus budget variance tracking, processing of budget adjustments and transfers, invoicing and billing, preparation of purchase orders and requisitions, and supply expenditure control.
Among the key duties of this position are the following:
Assists with the account reconciliation process for projects associated with RITMS accounts; maintains records of expenditures, invoices, and payments, tracks actual vs budget variance, forecasting, and projects payroll expenses.
Assists in the preparation of budget preparation for Federal, State, foundation, and industry projects.
Coordinates the processing of budget adjustments and transfers, changes of source of funds, salary transfers, purchase requisitions and purchase orders.
Coordinates the processing of payroll on behalf of department; serves as a Payroll preparer.
Maintains confidential correspondence and financial records.
Minimum Education and Experience:
Equivalent experience, education and/or training may be substituted for the education requirements.
Required Knowledge, Skills, and Abilities:
Proficiency with Microsoft Excel.
Ability to work independently and meet required deadlines.
Excellent communication, interpersonal skills, and competence in the use of Microsoft Office Suite are required for this position.
Must be detailed oriented and have prior working knowledge in organizing projects and other administrative activities.
Demonstrated experience with independent thinking, follow through and the ability to work in a deadline driven environment are necessary.
Proficiency with Marketplace, Tableau, Oracle, PeopleSoft, or any other Rutgers Financial System.
Physical Demands and Work Environment:
Lift or exert force up to 30 pounds.
Flexibility with work schedule.
Able to work non-traditional hours or additional hours, as needed.
Training to gain access to Payroll, Marketplace, Tableau, Expense Management System, other Rutgers Financial systems must be completed within the first three months of being hired.
