FINANCIAL ASSISTANT 2 , MIT Sandbox Innovation Program (part-time, 20 hrs/wk.), to provide financial assistance to a new Institute-wide program that gives students hands-on experience with entrepreneurship. Will process student reimbursements for ~150 teams and interact with student groups on reimbursement and procurement needs; monitor and reconcile accounting statements, investigating and following up on discrepancies; monitor and order inventory, working within established supply budgets; select vendors and use signature and purchasing authorization; pay invoices and prepare requisitions for purchase orders; set up appointments for student interns and fellows; ensure project budgets allow for time allocated to projects for team internships and stipends; request free AWS credits or Google Cloud for qualifying student teams and track teams receiving free cloud services through our partners; monitor activity in cost objects, assist in assembling accruals and carry forward lists, close outstanding purchase orders, and issue new blankets for next fiscal year; review, process, and track payments and reconcile all bills, vendor invoices, requisitions, vendor purchase orders, and requests for payment; settle billing discrepancies; approve invoices/RFPs and travel expense reports, interacting with vendors to answer questions and resolve issues; reconcile accounts; maintain records, files, and/or reports; generate reports on a weekly or monthly basis; and perform account maintenance.
Job Requirements REQUIRED : high school diploma or its equivalent; at least three years of experience in accounting or finance; excellent interpersonal, organizational, communication, and customer service skills; and ability to demonstrate discretion and judgment when problem-solving and dealing with confidential information, escalating to the executive director when appropriate. Schedule to be determined. Occasional evening work is required about two to three times per year.
Must be able to increase weekly commitment to 30 hours per week during the busy end-of-cycle season (an estimated total of about four weeks per year).
