The Admissions Office of Jefferson Community and Technical College has an opening for a full-time Student Affairs Assistant III.
Welcome, and assist incoming traffic in a friendly manner and providing exceptional customer service. This position serves as the first point of contact for Admissions Office and Jefferson.
Disseminate information to students, staff, and faculty in a friendly manner concerning all aspects of admissions, policies and procedures at Jefferson.
Maintain a professional, positive, supportive, and welcoming attitude in all communication, including e-mails, telephone inquiries, and face-to-face interactions.
Manage front desk, walk-in and waiting area in an organized fashion with attention to detail.
Assist new, current and returning students completing any paperwork needed for the admissions office.
Review student applications daily, make data corrections and update application information as needed.
Scan, file and process admissions documents into Onbase.
Communicate with applicants through mail, email, telephone, and in-person.
Process admission documents such as but not limited to high school transcripts, test scores and paper apps as needed.
Hire, train & supervise student workers.
Assist with resolving Blackboard tickets.
Assist with running queries daily for processing.
Assist Orientation & Assessment with outreach to perspective students.
Conduct all admissions activities with the highest integrity and business ethics while adhering to state, federal, and FERPA policies and regulations.
Maintains a secure and confidential environment for student records and other data.
Organizes workload to ensure deadlines are met and schedules work assignments in priority or date received order.
Other administrative support for the office may be assigned as needed.
Associate's degree and three years related experience, or equivalent are required. Preference will be given to individuals with knowledge of customer service techniques and practices. Bilingual background preferred.
Polished professional with outgoing attitude, be a team player and provide high-level customer service under stressful situations along with continuous change.
Ability to maintain confidentiality of work-related information and materials.
Ability to establish and maintain effective work relationships.
High level of proficiency with general office PC applications (i.e. MS Word, MS Excel, MS Access, MS PowerPoint) and comfort with learning new applications as required.
Demonstrated excellent organizational, coordinating and personal interface skills.
Proven job diligence, dedication and attention to detail.
Comfort and experience interfacing with various levels of staff and management, while working in a fast-paced environment.
Demonstrate excellent written and verbal communication skills, including the ability to successfully communicate with the public, other employees and vendors.
Ability to efficiently enter high-volumes of data.
