Department Specific Description: This position will work with the Colleges of Scripps to purchase goods and services needed by the unit. This position will include contracting for professional services, equipment acquisition, specialized buying, academic purchasing, etc.
Department Specific Responsibilities: 1. Purchase and manages procurement process for all College items, including IT equipment, independent contractors, etc. May include travel and grant specific work. Provides buying assistance for all leases (buses, apartment, etc.) Will assist Compliance Officer(s) with assuring proper procurement procedures are being followed.
2. Works with College schools to handle purchasing. Contacts vendors to obtain pricing. Initiates purchase orders in Bobcat Buy as needed. Handles p-card purchases and reconciliations. Ensure timely delivery and prompt payment of invoices.
3. Maintains necessary files, prepares invoices and supporting documentation for accounts payable.
4. Other duties as assigned.Responsible for the purchasing activities of goods and services needed by the university.

Guides and assists customers with highly complex questions, paperwork, and requirements, as they relate to financial and business activities such as billing, refunds, etc. Mentors, coaches, and trains lower level employees in customer service and department policies. 2. Often directs work, trains, and/or supervises other staff or student employees. 3. Performs financial analyses and makes recommendations based on data. 4. Reviews the work of other employees for accuracy and compliance with accepted standards and University policies. 5. Issues purchase orders in accordance with functional policy. Communicates with internal and external customers to manage purchasing. 6. Analyzes and monitors department and program budgets. Approves and tracks expenditures.
Knowledge of finance and business technical and practical concepts, processes, and methods typically obtained by a high school degree or GED or equivalent and a minimum of 5 years related experience. An equivalent combination of education, training, and experience is acceptable. Specific knowledge, certifications, and licensure will apply at the position level.
3-5 years related work experience
Vocational or technical school degree.
Bachelor Degree and experience in purchasing preferred.
