The business administrator will provide support to the Department of Material Science chair, including its affiliated centers. The individual will provide high-level support to the department. Primary responsibilities will include efficient management of daily scheduling, travel (national and international), editorial support, department personnel evaluation support and compliance, and coordination and event planning. Various duties and tasks may include preparing reports, collecting departmental data. They will liaise with COE departments, ISU, external academic collaborators, Ames Laboratory, state agencies, and federal organizations to ensure safety and training compliance. The position will play a key role in assisting the chair with administrative tasks spanning identifying challenges and problem solving needed to achieve the departmentâs goals and objectives.
Provides high-level administrative support to the department chair.
Prepares agendas and schedules for meetings, conferences, and other assigned events.
Maintains and distributes departmental minutes or other notes as requested.
Responds and resolves administrative inquiries and questions.
Welcomes and directs visitors and clients.
Answers and transfers phone calls and screens when necessary.
Coordinates and schedules travel, meetings, and appointments.
Ability to collect requested data and information from various sources and summarize findings in written and verbal form (email, meeting minutes and records, and other correspondence and documents).
Completes other general duties as requested, including recordkeeping, managing petty cash, maintaining office supplies, and coordinating equipment maintenance, and handling packages and correspondence.
Performs other related duties as assigned.
May train, supervise, and provide feedback on tasks performed by lower-level staff.
