The Office Research & Sponsored Programs (ORSP) at the University of Tennessee at Martin is currently accepting applications for an Administrative Specialist. This position exists to provide administrative and operation support for the Office of Research & Sponsored Programs (ORSP). The Office Manager will independently manage administrative function within a dynamic, collegial office environment. This position monitors a variety of complex budgets.
Duties: Research Office Management: * Function as primary receptionist for the ORSP * Provide direct administrative support to the Directors of ORSP * Answer main office phone and provide excellent customer service, routing inquiries to the appropriate staff, answering questions when able and qualified and handling all walk-in visitors and students. * Provide IT initial trouble-shooting and work with IT to manage IT resources as needed. * Monitor office supplies and order items as needed. * Maintain and authorize expenditures and supplemental operating budgets. * Reconcile monthly budget statements and expenditures. * Verify monthly procurement card statements and distribute charges to other accounts as needed. * Process all payroll paperwork for ORSP. * Enter time into IRIS for all biweekly and monthly employees in the ORSP. * Process travel authorizations and expense reports. * Work collaboratively with the Administrative Specialists and other administrators across campus, as needed. * Monitor UT Martin record-keeping policies and manage file archiving or disposition for payroll files and general operational files. * Prepare materials for campus workshops, trainings, and conferences as needed. * Support ORSP staff as needed in ensuring timely submission of proposals and maintaining up to date information in a variety of sponsor systems. * Handle other duties as assigned.
Research Compliance Administration: * Support ORSP staff with educational training for IRB, IACUC, and Export Control. * Supervise time management of student worker. * Make travel arrangements for ORSP staff to attend regional and national conferences and meetings. * Assist Director with submission of annual compliance and inspection reports and renewals. * Manage and update ORSP web page. * Notify campus community of updates to state and federal compliance regulations. * Maintain UT Martin CITI membership. * Maintain UT Martin CITI Completion Reports of faculty, staff and students. * Support ORSP staff in designing and distributing campus feedback tools, such as surveys and polls. * Annually review training materials, edit/revise as applicable according to new Human Subject and Animal Subject Research guidelines and laws. * Prepares and distributes reports of training to ORSP Director, Chairs, Deans, and VCAA. * Follow best practices for IRB applications and IACUC protocols (receives and logs in applications and protocols; prepares applications and protocols for IRB and IACUC reviews; follow-up with researchers on exceptions lists; assign docket numbers to research activities; notifies researchers). * Coordinates and assists with annual and semi-annual reviews of animal teaching and research labs and farms. * Coordinates monthly meetings of IRB and IACUC (agenda, full review items, annual reviews, minutes, etc.). * Prepares reports of applications, protocols, and reviews for filing. * Corresponds with IRB and IACUC members regularly about questions that arise from researchers concerning human subject and animal research. * Maintain regulatory documents (reviews all active IRB applications and IACUC protocols annually for continued review or closed files). * Attend and participate in related conferences for research ethics (human subject, animal use and care, responsible conduct in research).
Special Projects: * Provide administrative support to ORSP staff for internal grant competitions. * Manage and monitor internal grant awards, working with the PIs and Administrative Specialists for the administering departments. * Provide planning and independently / collaboratively (as appropriate) handle logistics for a variety of campus events including Research Dialogues, luncheons, workshops, trainings, etc. * Independently manage any facilities or maintenance issues.
