In the ever expanding city of Los Angeles, Trojans need reliable and convenient transportation options. USC Transportation has risen to meet that need, operating parking structures, busses, student-run Campus Cruisers and a fuel station. To meet the unique needs of each Trojan, Transportation also coordinates with numerous taxi companies and rental car agencies to provide a vast source of transit options. We are seeking an Administrative Assistant II to join our rapidly growing team.
Are you a master of organization? Do you take pride in your attention to detail? Then this is the job for you! As our Administrative Assistant, you will ensure that our operations are running smoothly. Whether itâs organizing files, arranging schedules, preparing reports, or proofreading our correspondence, no task will be too big or too small for you to handle. With so many transportation operations to manage, we need you to be energetic, passionate, and driven!
Serve as department liaison with both internal and external constituents.
Answer employee inquiries.
Manage office purchases.
Greet visitors. Ascertain nature of business and direct visitors to employer or appropriate person.
Answer telephone and give information to callers or routes call to appropriate employee and places outgoing calls.
Respond quickly to guest requests in a friendly manner. Follows up to ensure guest satisfaction.
Manage scheduling of departmental meetings and the personal appointments for the Director.
Take and publish meeting minutes and follow up on communication distributions.
Manage part-time student staff, including timecard monitoring and scheduling.
Prepare and process documentation to accompany assigned responsibilities.
Compile and type statistical reports.
Maintain a filing system. File records, correspondence, and other miscellaneous items.
Handle special projects as assigned.
Perform other related duties as assigned or requested. The University reserves the right to add or change duties at any time.
Education: Bachelorâs Degree.
Experience: 3 years.
Secretarial or specialized clerical and administrative experience.
Needs to operate, maintain, and demonstrate varied office equipment.
Presents oneself professionally, in line with higher education environment.
Demonstrated customer service, interpersonal, and communication skills.
Must be organized and attentive to detail.
What We Prefer:
4 years of secretarial, executive support, and/or administrative support.
Experience in transportation and/or University environment.
Ability to oversee student, temporary, and/or resource workers.
