ADMINISTRATIVE ASSISTANT , MIT Libraries , to provide administrative, financial, and reporting support to the Community Engagement Program and Information Delivery and Library Access (IDLA), and play a key role in managing the Libraries' programming events. Responsibilities include managing routine financial transactions; file management; purchasing and maintaining supplies; establishing room/calendar reservations; coordinating, supporting, and proofreading reports; assisting with coordination of facilities, equipment, space, and access needs; supporting travel and associated activities; providing move support; backing up other administrative team members; contributing to the development of documentation/training materials; website maintenance; assisting with document layout/graphics; performing information searches; participation on committees and/or projects; and assisting with planning and implementing events/meetings, providing event-day support, collaborating on signage and advertising, and preparing event materials.
Job Requirements REQUIRED : high school diploma or its equivalent; three years' direct/related experience; advanced-level proficiency with Windows and Word, Excel, PowerPoint, Outlook, and Google apps and comfort learning additional programs/systems; strong organizational, analytical, communication, and problem-solving skills; keen attention to detail; punctuality; and ability to lift 25 pounds and traverse the campus, sometimes ascending stairs. Must be able to manage competing priorities in a dynamic, fast-paced environment; work independently and flexibly; exercise discretion; work effectively with a diverse group of people; and take initiative and bring tasks/projects to completion under minimal supervision. PREFERRED : associate's/bachelor's degree; experience in a customer-service environment; familiarity with social media applications (Facebook, Twitter, Instagram); general technical skill with AV, laptops, projectors, Bluetooth, wireless add-ons, etc.; work experience in an academic environment or research library; experience with Eventbrite and/or LibCal; and familiarity with MIT and its administrative departments/systems, e.g, SAP/Concur. Schedule to be determined between the hours of 8:00 A.M. to 6:00 P.M., Monday to Friday. Must be able to support events outside normal business hours up to twice a month.
Hourly rate: $21.09/hour minimum, with actual based on qualifications and experience.
