The Department of Pharmacology is seeking an Executive Assistant Associate to provide highly responsible, skilled, and complex administrative support to the Chair of Pharmacology.
Manage the Chair’s complex meeting and travel calendar and make all travel arrangements for Chair and visitors.
Under general supervision, provide secretarial and administrative support for senior management and executives. Requires continuous use of technical and business vocabulary and a detailed knowledge of organization operations, organizational procedures, and personnel. Relieves supervisors of some administrative detail.
Assure materials and back-up for all meetings and conference calls are available prior to meetings for reference.
Arrange departmental meetings and events, including catering and room reservations and assuring AV equipment is set-up as needed; arrange speakers; send meeting announcements and reminders; create agendas; maintain meeting schedules; and tracking participation.
Provide limited administrative support to the faculty and Associate Chairs. Duties include, but are not necessarily limited to: meeting coordination activities such as scheduling rooms, taking minutes at meetings, and organizing and coordinating reference documents.
Provide administrative support to the Director of the Pharmacology Master's Program. Duties include, but are not limited: meeting coordination, and facilitating recruitment, admissions, and enrollment processes.
Submit expenses for reimbursement to Concur for the Chair and department faculty; department calendaring; travel arrangements for conferences; reconciling P-Cards; placing supply orders; and monitoring financial activities and project grants.
Provide administrative support for various department meetings.
Coordinate recruitment visits.
Continually provide Chair with valuable information related to day to day matters.
Gather materials for conferences.
Track awards, publications, patents, etc. for inclusion in annual report.
Answer and screen department telephone calls and handle mail and route, as necessary.
Provide support and cross coverage for the Pharmacology Administrative Office.
Other miscellaneous duties as assigned.
High School diploma or equivalent
5 years of administrative support experience.
Excellent communication and interpersonal skills. High level of professionalism.
Ability to maintain confidentiality when needed.
Excellent organizational skills and the ability to multitask.
Ability to work independently and meet deadlines.
Experience with Microsoft Office.
The ability to handle multiple tasks and set priorities while paying strict attention to details and meeting deadlines is essential.
Bachelor's degree preferred. Knowledge of University of Michigan policies, procedures and regulations.
