The Admissions Operations Coordinator at Berkeley Law administers application processing systems and a wide range of outreach activities for the law school. Reporting to the Director of Admissions and Operations, the Admissions Operations Coordinator assists in reviewing 6,000 - 7,000 JD applications annually, manages a variety of correspondence throughout the application cycle in support of the Admissions unit; coordinates on-campus visits by high schools and student groups; represents the law school on occasion for recruitment. The incumbent also manages data processing and updating of applicant records across admissions and enrollment management systems, providing policy recommendations focused on admissions outreach and recruitment goals.
The Admissions Operations Coordinator must use real-time data to respond to applicant issues and problems as they arise; plans and implements projects in response to real-time challenges and needs; assists with and facilitates programs for student outreach, recruitment, and admissions for the law school within appropriate constituents and communities; and educates the public about admissions requirements, policies, and processes.
ADMISSIONS DATABASE PROCESSING AND COORDINATION
Performs admissions database system (ACES2 and UNITE) processing and updates for incoming applications, emails to applicants regarding application completion or status, updates student records in ACES2, UNITE and/or SIS, and audits files for completion and consistency.
Coordinates with campus or third party vendors to generate data reports from multiple sources and provide data to Directors and/or Deans for dissemination to external reports.
Provides technical assistance in updating processes, including folding in new software as needed by the office.
Provides substantive information via telephone, email, and in person on law school admissions requirements, application process, planning visits, scheduling appointments, prerequisite courses, school/college programs and curricula, specific financial aid, housing, career opportunities, resources, and additional information.
Facilitates information sessions for prospective students.
Performs recruitment activities, including writing or editing materials, and represents the school/college/department at admissions events and other forums. Plans visits to schools, schedule and make presentations.
Under direction and guidance of the Director of Admissions or Outreach and Recruitment, plans, organizes and/or assists with events to enhance recruitment and yield, including individual Admit Visits, Admitted Students Weekend, diversity initiative events, mentoring programs, and similar activities.
Schedules and coordinates on-campus visits by high schools and student groups, providing building tours.
Assists with content updates for admissions and/or financial aid-related web pages.
Facilitates event registration and name tags, tracks online RSVPs, and email follow-ups to visitors.
Organizes and manages shipping for upcoming outreach events, mailing of decision letters and admitted student correspondence, and e-filing.
Assists in identifying opportunities to streamline processes in incorporating new technology and/or admissions evaluation tools, such as interviews.
Assists with sending electronic and print communication to prospect and admitted students, including Admit Packet, Curricular Interest, and Supplemental Gift Aid Questionnaire.
Exercises professional judgment in reviewing, evaluating, and recommending applicants for admission using established and predefined guidelines. Assesses applicants for motivation, initiative, leadership potential, work/life experience, extracurricular activities, socioeconomic status, and educational/personal hardship.
Using established guidelines, applies acquired knowledge of college/school/department requirements and applicant pool to assess applicants' overall record and experience for final admissions determination and recommendation. Consults with senior level staff when reviewing more complex applications.
Analytical, critical thinking, problem recognition/avoidance/resolution/problem-solving skills and the ability to deal with ambiguity.
Ability to understand and easily explain the nature of the law school experience, the academic and other requirements of the field, and the key factors a successful applicant and matriculant should possess.
Thorough knowledge and experience working with a diverse student population.
Strong skills in analyzing and synthesizing large amounts of data for preparing sound and relevant proposals with ability to interpret policies and procedures to prospective students and the public.
Strong advising and counseling skills with thorough and comprehensive knowledge of academic programs, including curricula, admissions requirements, and financial aid programs, at colleges/universities.
Political acumen to establish and maintain cooperative relationships throughout the organization and with schools, universities, community organizations, undergraduate and graduate student and campus organizations, and other institutions. Ability to leverage those relationships to meet key Admissions Office objectives.
Excellent computer skills with the ability to quickly learn and adapt to new systems and programs.
Knowledge and demonstrated experience using Microsoft Word, Excel, and PowerPoint.
Highly advanced interpersonal and communication skills (both verbal and written), and the ability to employ active listening skills and the ability to develop persuasive and compelling arguments.
Ability to provide a high level of customer service and responsiveness. Strong ability to work independently and as a team member.
Ability to multitask and meet demanding time frames.
Ability to travel (up to 10%) and must have a valid driver's license.
Ability to exercise a high degree of professional judgment and discretion while maintaining a high level of confidentiality.
Bachelor's degree in related area and/or equivalent experience/training.
Knowledge of or the ability to learn quickly common campus-specific databases and experience with admissions-based systems, such as Qualtrics, and other related programs.
Knowledge of web site design and other technologies.
Experience working with data management systems to generate reports and process data.
Salary & Benefits
This is a non-exempt, biweekly paid position. Hourly pay range is $26.00-$29.50, commensurate with experience.
