This position provides diversified secretarial and administrative support for the faculty, staff, and students of the Precision Radio-Theranostics Translational Laboratories (PRT2Ls). This includes purchasing supplies and communicating with vendors; coordinating office functions, schedules and events; and providing administrative services with minimum supervision in a collaborative team environment.
Primary Duties & Responsibilities
Processes and submits purchase orders, travel expense reports, check requests, pays invoices, and follows up on these items through to its completion.
Processes and completes all purchasing functions: purchase orders, receiving, ID and invoices- including communicating with vendors to follow-up on orders.Oversees document routing for review and signatures.
Provides administrative support to faculty and staff, including: phone coverage, manages and maintains appointments schedules, meetings, lectures, and seminar schedules.
Facilitates meetings, lectures, and seminars - assists in the logistics for example, advertising announcements, room set up, catering, visitorâ™s individual meetings with faculty, itinerary, reimbursement, check-in and flow of the dayâ™s events.
Routes incoming mail, distributes correspondence and other material to faculty and staff.Maintains confidential administrative and correspondence files.
Provides assistance with day-to-day administration of PRT2L, and staff support during vacation/illnesses.
Coordinates requests for keys, badges, facility, computer access, janitorial service, supply ordering, stocking, and equipment malfunctions.
â‹Bachelorâ™s degree or equivalent of an associateâ™s degree with two to five years of experience in a university/medical environment.
Three years of related secretarial experience
Strong written, critical thinking and oral communication skills.Â
Familiarity with financial systems and bill paying.
Excellent time management and organizational skills.
Ability to multi-task and prioritize to handle concurrent projects accurately and in a timely manner.Â
Working knowledge in Microsoft Office, including Word, Excel, Outlook and PowerPoint, as well as EndNotes and One Notes.
Experience scheduling via Zoom, Webex/Webinar, Doodle, Outlook and Microsoft Teams.
Ability to work effectively, independently and cooperatively in a team environment, as well as with a very diverse group of administrators, staff and other WU representatives to support the PRT2L program.
Ability to use various word processing packages and general office equipment.
High school diploma or equivalent high school certification with two years related experience.
$15.30 - $21.89 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
