The primary purpose of the 10-month Department Assistant is to provide administrative and clerical support to the faculty and staff in the Professional and Technical Studies Division.

Provide administrative support and organization for the Professional and Technical Studies Division.
Serve as department receptionist by greeting students and visitors, assisting with appointments, delivering messages, and responding to various needs and questions of the general public. Inform students of class/office hour cancellations and re-direct.
Monitor division budget throughout the academic year and prepare documentation as necessary. Process division faculty travel and lodging requests. Order general office supplies for division faculty.
Process MOAs and advising committee member updates.
Post division data onto college's databases and servers. Maintain the PATS website.
Site Coordinator for the college. Responsibilities include: ordering exams for students; corresponding with testing centers and students to confirm appointments; retrieving exam results and sharing with the students, instructors, and program coordinators; and posting results to PeopleSoft.
Attend and record division meetings; write and distribute division meeting minutes.
Other duties as assigned by division chair.
High school diploma and 2 years related work experience, or equivalent Associate degree.
Complete and thorough knowledge of Microsoft computer software packages, communication, organizational, critical thinking skills.
Ability to multi-task in an open office environment and respond to issues and concerns that affect the department.
Discretion in handling confidential materials related to the department.
Pleasant personality being able to meet the public with proper professional phone and personal etiquette.
Demonstrate excellent written and oral communication skills, organizational skills, self-starter and one who can accomplish tasks with little supervisory direction in a very busy environment.
