Rutgers, The State University of New Jersey, is seeking an Administrative Coordinator for the Office of Human Resources within the School of Environmental and Biological Sciences (SEBS).
Among the key duties of this position are the following:
Reviews position requests in the Applicant Tracking System, works with departments on ensuring proper uploads of documentation, ensures applicant reviewers and search committee members are selected, and specific questions are added to postings that will embrace the University's mission of diversity, equity and inclusion with a focus on under-utilized or underrepresented populations for recruitment purposes.
Seeks recruitment sourcing strategies and applications (advertising and memberships) that will ensure a diverse pool of applicants for vacant positions.
Serves as the HCM preparer for SEBS-HR, performs routine HCM checks and responds to departmental inquiries, and serves as a liaison on OneSource transactions/matters.
Works with Dean's office/departments to obtain signatures on documents for faculty personnel files, LCA's for H1B filings.
Updates database/spreadsheets and the monthly staffing report, responds to routine phone and email requests for system access, maintains listservs and archive lists, shared drive documents, and Sakai project sites.
Coordinates virtual meetings, upkeep of department website, office purchases, and the reconciliation of accounts.
Minimum Education and Experience:
A minimum of two (2) years of relevant experience in Human Resources.
Required Knowledge, Skills, and Abilities:
Knowledge of major academic and diversity issues with a demonstrated, clear understanding of the importance of a diverse and inclusive environment in a higher education setting.
Knowledge of EEO practices in higher education.
Knowledge of University union contracts and demonstrated experience interpreting data.
Three to five years of relevant experience, preferably in higher education.
Exceptional oral and written communications and interpersonal skills.
Demonstrated ability to think and act strategically.
Strong knowledge of and commitment to advancing diversity awareness and inclusion.
Ability to work independently while functioning as part of a team.
Objective thinker who handles confidential information in an impartial manner.
Demonstrates initiative and creative ability to build contacts/networks among internal and external constituencies.
A high degree of diplomacy, personal integrity, ethics and sound judgment.
Ability to work effectively with faculty, staff, and administrators.
Familiarity with recruitment systems and ability to stay current on diversity programs offered in the field (i.e. SHRM) or other professional organizations.
Physical Demands and Work Environment:
This position requires the ability to perform in a dynamic fast-paced environment and communicate effectively with multiple constituencies, tactfully, and diplomatically.
This position manages sensitive personnel information with discretion and good judgement.
