The Office of Admissions is an organizational unit of the Division of Academic Affairs, which strives for excellence through a student-centered philosophy. The division has adopted a set of values that every Academic Affairs staff member is responsible for promoting. In performing the duties assigned to this position, all staff members are expected to consistently demonstrate attitudes and behaviors that are in keeping with these divisional values.
The Office of Admissions is responsible for the admission activities for all domestic and non-resident undergraduate and graduate students. The Office is responsible for meeting the goals of the University by promoting the image of the University, its programs and uniqueness both domestically and internationally. The Office is also charged with assisting with the setting and meeting of the enrollment goals of the University via strategically reviewing trends, needs and capacity issues; planning with Deans and senior management; developing relationships with the campus and external communities; providing timely, accurate and comprehensive services to students and the campus throughout the admission and enrollment processes.
The Office is responsible for compliance with federal, state, CSU system and University requirements and the timely and accurate dissemination of information to students, parents, campus constituents, the CSU Chancellor's Office, and the external community. Application processing, eligibility determination, counseling, reporting and enrollment planning are primary functions of this office.
The Office plays an integral role in the development, implementation and maintenance of the photo ID system, as it relates to the campus' identity management initiatives via its coordination of data relative to all campus members and its affiliates. Additionally, the Office is responsible for the administrating, facilitating, scoring and reporting of a number of system wide and campus wide testing programs.
The Office of Admissions is housed within the Division of Academic Affairs and reports to the Senior Associate Vice President of Enrollment Management & Services. The Office plays a leadership role in enrollment management and planning, in conjunction with other campus constituents.
DUTIES AND RESPONSIBILITIES:
- Reviews graduate CSU admission eligibility, based on completion of a recognized bachelor's degree (post-baccalaureate work, if any), units, grade point average (GPA), and academic standing. - Calculates overall GPA and/or from the last 60 units earned. - Reviews and ensures the institution from which the degree was conferred is accredited. - Creates graduate checklist(s) in order to request documents needed to review eligibility and/or to complete admission requirements. - Generates a daily work list from a pre-defined query. Ensures completed checklists can move forward with initial application reviews or complete the final audits. Monitors outstanding checklists and checks On Base for documents received. - Refers eligible applicant files to program graduate coordinators for admission decisions through OnBase. Collaborates with graduate coordinators to make sure applicants supporting documents are sent to the departments in time for review. Once decisions have been made, incumbent will process final graduate admission decisions. - Enters and updates all applicable information and exemptions into PeopleSoft. Responds to inquiries about admission status, reason for denial decision, and what documents are required. Places and removes service indicators (holds) as necessary.
- Reviews high school coursework from self-reported and/or official documents. Has full understanding of A-G Subject Area requirements and validations in order to calculate subject counts. Checks the A-G UCOP website to review course equivalencies and disciplines. Updates and corrects A-G Subject Area counts in PeopleSoft as needed. - Reviews English and Math coursework and senior-year higher-level coursework. Updates statuses for Early Start and Academic Placement.
Office of Admissions:
- Participates in all Office of Admissions, Enrollment Cluster and divisional staff development and staff meetings, and attends all major staff events to promote the University. - Adheres to laws and policies established in regards to computer data, records, accounting and personnel by the California State University, Cal Poly Pomona, and the Office of Admissions to show sensitivity and appropriate conduct as a University employee. - Adheres to and properly advises prospective and admitted students regarding CSU residency policies. - Assists the Enrollment Services management team with long- and short-range planning and goal setting, policy and process changes, coordination of services and programs, etc. - Performs administrative and programmatic duties as assigned.
High School diploma or its equivalent AND four (4) years of progressively responsible experience in general office clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures; thorough knowledge of English grammar, punctuation and spelling; thorough knowledge of office systems and ability to use broader range of technology, systems, and software packages; ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist; working knowledge of budget policies and procedures; ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections. Ability to draft and compose correspondence and standard reports; ability to handle effectively a broader range of interpersonal contacts including those at a higher level and those sensitive in nature.
Strong oral communication and interpersonal skills. Excellent customer relations skills. Proficiency in using office relations software skills packages, PeopleSoft and On Base.
A background check must satisfactorily be completed before a candidate can be offered this position.
