The Program Coordinator provides administrative functions along with participation in the development and delivery of programmatic content. Working on a Lifelong Learning team within Alumni Engagement, the Coordinator leads the administration and record keeping of the various programs and activities for W&L alumni, current and past parents, and friends. Programs include the W&L Alumni College, an acclaimed travel program, and recurring symposia. Working with the Director and Assistant Director, the mission of this team is to engage alumni and parents through reading, educational travel, and conversations with W&L faculty, special guests, and each other, nurturing a love of lifelong learning and an abiding appreciation for W&L.

Manages office and individual program budgetary accounts, pays bills, prepares invoices, and processes registrations and payments.
Participates with the Director and other staff in the overall conception of Lifelong Learning programs based on the office Strategic Plan and Annual Plans as revised from time to time, and regular planning meetings. Assists with the selection and design of Lifelong Learning topics and identifies and works with faculty. Contributes to a detailed annual plan of activities.
From time to time, serves as an informed and welcoming on-site host for Lifelong Learning programs.
Manages the creation, distribution, and compilation of participant evaluations.
Participates in the development and coordination of website content, updates and electronic communications.
Oversees program registrations and provides accurate information to participants.
Skilled user of the Raiser’s Edge platform for data entry, retrieval, mailings and the creation and execution of online registration portals.
Supervises any work/study students and temporary help. Assists in the development of their programmatic knowledge and provides feedback.
Oversees the preparation of participant materials and assists with check-in/registration. Co-manages the preparation of all printed and electronic promotional publications.
Maintains collegial relationships with Advancement and other university staff.
Coordinates scheduling, meal plans, and room assignments for Alumni College with University Special Events Office.
Assists Alumni Engagement staff from time to time with major campus events.
Other duties and responsibilities as assigned by the Director.
Minimum Qualifications: Bachelor’s degree preferred with an interest in the educational value of domestic and international travel, reading, lectures, and other forms of lifelong learning. The candidate must have a broad interest in people and feel comfortable dealing with external constituencies.
Requires working knowledge of technology and a demonstrated understanding of organizational protocols. Must possess strong organizational skills, the ability to communicate effectively verbally and in writing with campus and alumni audiences, the ability to work independently, and to interact effectively in a professional and confidential manner.
