The ILR Office of Career Services (OCS) serves the career development needs of ILR undergraduate and graduate students, and recent graduates. The student body is comprised of approximately 1000 undergraduates and about 150 residential graduate students, and a number of current professionals who are part of our Master of Professional Studies (MPS) and online Executive Masters in Human Resources Management (EMHRM) programs. This role is supervised by the Director, with day to day partnership with the 4 other professional staff members (Employer Connections Specialist and the 3 career advisors). As a member of the ILR Student Experience Team, they will contribute to the Student Experience Team's goals of having a student-centered approach, contribute to building a collaborative community based on trust, and values diversity, inclusion and wellbeing.

Your responsibilities include but are not limited to:
What you will do:
Serve as the initial point of contact (in person, phone and email) for OCC
Oversee and assist with the overall administration and office operations, including the Cornell Engagement Platform (Salesforce) to track student interactions with the office and the on-line scheduling system (Bookings) for students
Collaborate and partner closely with other student support/advising offices with ILR and Cornell
Provide supervision of student employees while exercising good judgement in interpreting needs of constituents
Manage inventory and purchasing of all supplies through E-shop and P-card for whole office.
Workshop and Event Management
Organize all logistics and administrative details of in-person and virtual workshops and events
Ensure accuracy of event marketing materials and language
Track attendance and provide data summaries
Office Communication & Marketing
Manage office's communication via social media, primary general email account for office
Serve as back-up for other Exchange Group Accounts (special email accounts) within OCS
Partner closely with OCS staff and ILR Marketing/Comm. team to ensure information is disseminated through various marketing channels
Maintain and update information on OCS website and in print form
Peer Advisor Program Oversight
Organize recruitment and selection of student employees
Coordinate projects requiring student employee support, assign said projects to student employees, and track their progress
Train and functionally manage student employees on critical office duties
Organize agenda items for training period and monthly meetings with student employees
Oversee all administrative needs including letters of appointment, training materials/manuals, Workday time tracking approval of weekly timecards
We are seeking someone with the following required qualifications:
Associate's Degree and 2 to 4 years of relevant experience or equivalent combination.
High level of organizational skills, ability to multi-task, and strong attention to detail, and manage high volume of information with multiple deadlines.
Demonstrated outstanding customer service skills involving high level of diplomacy, tact, and professionalism to anticipate and address the needs of students, employers, and alumni.
Adept at calendar management to ensure advising availability meets the needs of students.
Strong written and verbal communications skills to aid with messaging, responding to, and coordinating all office communications.
Demonstrated proficiency with computer programs and software such as Microsoft Office Suite, database management systems and/or other technology critical to the position.
Strong knowledge of Excel to create complex student usage reports.
Project coordination or event planning experience to manage logistics of different office-sponsored events.
Must be able to maintain strict confidentiality in handling student information.
Must thrive in fast-paced collaborative environment, enjoy working with students, value providing excellent service, and contribute to a warm, welcoming environment when greeting visitors and students.
Team player who values diversity and inclusion, and ultimately strives for a world-class ILR student experience.
Experience that demonstrates sound judgment and problem-solving skills and the ability to work collaboratively within a team of professionals.
A few more qualifications would be viewed as exceptionally helpful as well:
Bachelor's Degree with more than 4 years but less than 6 years of work experience, preferred.
Prior student services work experience highly preferred given this role serves as the primary point of contact in a student-facing office.
Past experience in using different software and tools such as Filemaker Pro, Salesforce, Qualtrics and web-page design and maintenance software preferred.
Direct experience with Zoom, Microsoft Office Teams, and other virtual platforms desired.
Knowledge of Photoshop or Adobe Illustrator or other design software helpful.
Past supervisory experience of students or staff providing delegation and guidance of work responsibilities
Past experience using various student engagement/tracking and career-specific platforms: Handshake, C3M, CEP/ Salesforce.
