The Assistant University Registrar is part of the Services Team in the Office of the University Registrar at Vanderbilt University and is a leader responsible for directing the daily activities of the front desk, transcript, and VA-compliance teams within the office. This position directs the operational matters related to these departments and serves as supervisor to front desk employees, as well as members of the transcript production team and members of the Veterans' Affairs team. Reporting directly to the Senior Associate University Registrar, the Assistant University Registrar collaborates frequently with campus partners across the university.
The Assistant University Registrar will represent the Office of the University Registrar in a variety of campus settings, working effectively with students, faculty, staff, and external constituents. The Assistant University Registrar will ensure university compliance with federal and state regulations related to the certification of veterans' educational benefits. This position provides leadership in identifying, developing, and implementing service and process enhancements to enhance the effectiveness and efficiency of services provided by the Office of the University Registrar.

Duties and Responsibilities
Serve as a primary resource for staff and campus constituents regarding veterans' educational benefits.
Provide direct daily management of front desk staff, transcript production team, and Veterans' Affairs team; review and approve biweekly time cards and provide clear expectations for direct reports.
Serve as a VA School Certifying Official: maintain records, monitor enrollments, keep abreast of all state and federal regulations and benefits, be knowledgeable about school policies and programs, and assist students receiving VA education benefits.
Interact with the academic units on campus to be proactive in identifying and resolving problems, implement and document new procedures, and ensure consistency with academic objectives and business practices in day-to-day transactional and service environments.
Work collaboratively with other University Enrollment Affairs units in matters related to student records services, especially with the Office of Student Accounts on matters related to VA educational benefits.
Coordinate work schedules to provide necessary coverage and backup, and adjust staffing arrangements to accommodate shifting workload demands.
Assist the senior leadership in developing an effective communication plan among internal staff, related departments, and campus constituents.
Assist the senior leadership in maintaining and auditing the integrity of student academic records.
Enable teamwork, collaboration, and information sharing to foster excellent customer service.
Assist the senior leadership in supporting institutional directives and vision.
Other duties as assigned.
This position does have supervisory responsibility over two full-time, non-exempt employees; this position reports administratively and functionally to the Senior Associate University Registrar.
Bachelor's degree is necessary
Master's degree is preferred
Four years of relevant experience in a higher education setting is necessary
Strong writing, proofing, and editing skills, including experience with creating end-user documentation and/or publications
Experience with change management in a higher education setting
Experience working directly with faculty, students, and staff in providing outstanding service
Demonstrated customer service skills, including oral communication and the ability to deploy diplomacy and tact when dealing with people of diverse cultural, social, or educational backgrounds
Experience with technical applications and experience with managing in an environment of ongoing technological change
Ability to use judgment, decisiveness, and think creatively in dealing with changing conditions
Ability to work under pressure and multi-task to meet competing demands and priorities
Advanced analytical skills to define problems and explore and propose solutions that meet the objectives of the department, the University Enrollment Affairs division, and the institution
Ability to interpret and enforce the Family Educational Rights and Privacy Act (FERPA)
Commitment to high standards of data integrity
Ability to work independently and as a member of the administrative team to foster an atmosphere of teamwork and cooperation internally and outside the department
Experience with staff supervision and managing the daily activities of an operational unit
