In support of the operations division, the Business Manager is responsible for a variety of administrative functions including budgeting, purchasing, contract management, and coordinating employment and payroll functions. In addition, this position provides administrative support for the Vice President of Operations, and some support to the Assistant Vice President for Information Technology, Director of Facilities, and Library Director. The Business Manager for Operations serves as a key administrative liaison with internal and external sources and thus, exercises considerable judgment and discretion in completing assignments.
MAJOR DUTIES & RESPONSIBILITIES
Prepares, submits, summarizes and communicates budget information for the assigned area
Prepares and approves budget transfers and non-payroll expenditure transfers; reconciles spending authority. Manage billing system and charge back departments for printer/copier daily postage usage.
Prepares and maintains internal accounting records and other duties related to fiscal administration, including receiving purchase orders, processing invoices, reconciling purchases, maintains tracking spreadsheets and Teams Elite budget systems.
Drafts, formats and proofreads documents, letters, forms, classroom materials, and technical materials in support of department; corrects grammatical, punctuation and spelling errors.
Organizes, establishes and maintains business-related records for division including contracts. Records or logs information, follows up on missing or incomplete information, may assemble, research and summarize information from a variety of sources as assigned; compiles data, prepares simple statistics, prepares special or recurring reports for supervisor or departments
Supports client-user technology hardware purchases including research pricing on requested needed features and functionality of equipment/software, equipment shipments for accuracy, shipping and resolves vendor issues. Oversee internal central IT purchasing for all units for technical needs; maintain online IT menu. Submit required documentation to the business office for chargeback and payment. Assist in the coordination of software license compliance for all college software.
Provides mobile telephone and pager administration; Sets up, moves, and changes university-owned mobile telephones, and pagers. Review usage and cost of telephony items (e.g., mobile phones, pagers, long distance, and phone service), prepare reports of activity.
Train staff as necessary on the appropriate utilization of business equipment, forms, and administrative procedures.
Provide back-up assistance to Administrative Services Manager for work order system in Issuetrak.
Manage several aspects of campus student housing related to business and facilities operations. Assist with summer housing, pipeline/enrichment and other programs involving housing. Manage temporary housing requests. Serve as Housing Review Committee Member.
Arranges schedule of appointments for manager, exercising discretion in committing manager’s time and in referring people to appropriate source of information or service. Composes reports and correspondence containing decisions of management team. Handles personnel or other administrative forms for department and forwards for processing. Prepares meeting agendas as needed; assembles background material for meetings; may attend meetings to record minutes or notes; arranges meetings, schedules conferences, meeting rooms and services; notifies attendees or participants of time and place
Provide second or third level customer service for Operations area to faculty, staff, students and the general public.
Assist Vice President for Operations with special projects as needed. RFPs, contract review and office procurement
To succeed in this role you will need:
Bachelor’s degree or associates with at least 5 years of experience.
3 years office experience with knowledge of budgeting, service contracts, procurement and purchasing.
Strong Microsoft Office skills including Excel, Word, and Outlook. Experience with ERP or budgeting software preferred.
Must work well under pressure, and relate professionally with all faculty and staff. Must be able to relate and negotiate professionally with various outside companies.
Ability to work independently to solve problems and schedule tasks in an environment of changing priorities and emergency situations.
Excellent written and verbal communication skills with experience creating technical documentation. Strong customer service skills.
