1. Assists Dean and designated administrators by supporting department operations, and servings as a department liaison with college personnel, faculty, students, and the general public seeking general information or assistance about or services offered by the department; acquires a general understanding of academic policies, best practices and procedures and uses this knowledge to elevate non-routine student/faculty inquiries and situations to the appropriate parties. 2. Maintains the department calendar, schedules appointments, attends meetings and prepares notes, coordinates events, seminars, presentations, workshops and meetings. 3. Oversees, organizes, and maintains a variety of confidential student/faculty records, correspondences, and inquires; provides limited assistance with the processing of documents and records related to faculty observations. 4. Creates, prepares, proofs, updates, and distributes a variety of correspondences, documents, reports, manuals and informational materials; updates website content using required computer software or systems. 5. Utilizes and stays current on department and college computer operating systems such as: learning management system, software and/or databases to prepare reports, financial information and complete other related assignments. 6. Assists with the coordination of the department’s communications, special projects, and ensures that distribution of the information occurs within established deadlines. 7. Provides assistance with the on-boarding and orientation of newly hired employees by reviewing established standard office procedures. 8. Processes purchase orders and reconciles invoices; provides assistance with oversight of the department’s budget. 9. Related duties, projects and initiatives as required.
1. Associates Degree or High School Diploma with additional two years of related experience (total of three years) in lieu of degree. 2. One year of administrative support/client service experience and the ability to handle and safeguard confidential information, files, correspondences and documents; multi-task in a busy work environment and meet established deadlines. 3. Ability to establish positive relationships with the general public and across an organization. 4. Prior experience with Microsoft Office Suite and a database system that required the ability to retrieve records; create, prepare and proof accurate reports, documents, correspondences, emails, etc. and to learn a variety of technology systems used within the College as they evolve.
