Brief Description of Duties: Under the direction of the Assistant Director of Student Accounts, the Student Financial Services Generalist is responsible for managing the coordination of incoming Residency Applications, Tuition Liability Appeals, Vouchers, Student Communications, Data Analysis, Third Party Billing and Collections Support, and Customer Service.
The successful incumbent must have excellent written and verbal communication skills as well as possess a strong interpersonal and customer service orientation with the ability to act with tact and diplomacy at all times. The capacity to pay great attention to even the smallest details and properly leverage organization, time management, and prioritization skills will be critical.
Residency Appeal Liaison:
Oversee coordination of all incoming initial residency applications and resulting decisions.
Make recommendations to departmental leadership and Identify any additional documentation needed for applications.
Identify any discrepancies in residency applications.
Serve as the first point of contact for any incoming residency emails or phone calls.
Assist the Residency Coordinator.
Analyze 3 to 5-year trend data for incoming applications to establish workload patterns and actionable data for management to staff and adjust deadlines accordingly.
Audit and update the residency specific webpages on the departmental website.
Serve as a liaison between SUNY Administration's General Counsel, Stony Brook's General Counsel, and Office Leadership on issues such as DACA, Residency Situations, and new SUNY Policy drafts.
Serve as the first point of contact for incoming Phone Calls, Emails, and LiveChat inquiries.
Regularly update immediate supervisor(s) of common trends and issues identified through incoming communications.
Provide excellent customer service to students, parents, faculty, and staff via phones, e-mail, and the Student Accounts e-mail inbox.
Draft and propose pre-written/approved language to be used in response to student inquiries.
Use HTML and Web Editing software to update the Student Financial Services Website.
Responsible for generating weekly, monthly, semesterly, and yearly reports showing trends in residency appeals, vouchers, unpaid balances, etc.
Work with the Business Systems Analyst to develop queries and reporting tools to efficiently generate data so as to help predict future revenue issues related to appeals, vouchers, etc.
Make recommendations to management based on analytics.
Generate weekly reports from several residency queries to identify discrepancies and reach out to students for required documentation.
Gather research and statistical data as requested.
Assist the Business Systems Analyst with testing of patch updates, system updates, and newly implemented delivered functionality. Testing will consist of performing specific tasks and actions within Peoplesoft and other systems within Bursar/Student Accounts.
Tuition Waivers and Fee Waivers:
Coordinate with other offices such as Financial Aid, Human Resources, and Registrar to find efficiencies within this process.
Alert the Billing Coordinator of any pending waivers as they relate to a student's invoice.
Tuition Liability Liaison:
Prepare tuition liability appeals for review and serve on the appeals committee.
Review adjustments where applicable and communicate with students, parents, faculty, and staff when necessary
Serve as the University Liaison to any third-party tuition insurance providers.
Serve as the first point of contact for all Tuition Liability Appeals and resulting decisions.
Additional Duties & Responsibilities as Assigned:
Other duties or projects as assigned as appropriate to rank and departmental mission.
Special Notes: This is a full time appointment. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA.
