Rutgers, The State University of New Jersey is seeking a Program Administrator for the Department of Medicine within the Rutgers, Robert Wood Johnson Medical School.
The Program Administrator reports directly to the Chief of the Division and is responsible for the support of the day to day activities of the Chief and other faculty members. The primary purpose of the Program Administrator position is to plan, supervise, and manage the support functions of the Division to make maximum effective utilization of employees and materials within budgetary requirements, as well as to provide assistance and supervision to members of the Division, including supervision of all staff. He/she is responsible for the planning, coordination and management of the division. In addition, he/she manages specific projects assigned by the Chief. He/she will assist scheduling the activities associated with the Chief's research as well as clinical functions, including ordering laboratory supplies and equipment, in the completion of grant budget proposals, submission of grants, and monitoring of pre and post award budgets. The candidate should have extensive experience with use of marketplace, controller's library functions and within six months after hire acquire full use of the Research Administration and Proposal Submission System (RAPSS).
Among the key duties of this position are the following:
Responsible for conducting pre-review of moderately complex to complex grant submissions to the designated research compliance office (human subject/laboratory animals/biologically infectious agent regulations) of new protocols, continuing reviews and modifications to approved studies.
Responsible for pre-review of Unanticipated Problems involving Risks to Subjects or Others and requests to close studies.
Other significant responsibilities may include review of correspondence and conducting quality improvement initiatives.
Works with other program staff, developing and presenting educational materials, to ensure uniformity of review and compliance with standard operating procedures and applicable federal and state regulations.
Conducts all aspects of IRB meetings and independently handles communications with clinical research units.
Minimum Education and Experience:
Bachelor's Degree (Master's Degree preferred) in Public or Business Administration, the Social Sciences or a related field is preferred; plus four (4) or more years of progressively more responsible professional experience inclusive of day-to-day operational, financial and program management responsibilities in a business office, government agency or university setting.
Additional related experience may be substituted for a degree on a year-for-year basis
Required Knowledge, Skills, and Abilities:
Detail-oriented and have excellent writing and editing skills.
Proficient in Microsoft software (Excel, PowerPoint, Visio and Access Database).
Outstanding human relations and leadership skills, and the ability to function in a team environment.
Knowledge of how to accomplish superior performance in a unionized environment.
