The Student Service Representative is a front line position that works with students, families, faculty, and staff to answer questions and address concerns at the Center for Student Services (CSS). Demonstrating exceptional customer service and problem resolution, this role provides general information in the areas of Financial Aid, Student Accounts, Registrar and University-wide IDs. Reporting to the Student Services Manager, the Student Service Representative will seek the assistance of the CSS Specialists and other University department personnel to resolve issues. This is a full-time, benefit-eligible position.
Provide timely and accurate information to students, families, and associates who contact and visit the CSS.
Professionally maintain front area of the CSS including the front counter, forms area, and equipment used in the CSS.
Maintain confidentiality of students as directed under FERPA.
Assist with projects and events within the areas of the Registrar, Student Financial Services, and Financial Aid.
Check, collect, and answer questions regarding CSS forms for accuracy.
Schedule appointments for CSS staff members as appropriate.
Maintain multiple calendar schedules for the CSS.
Answer and/or route phone calls made to the CSS.
Handle incoming/outgoing mail for the CSS.
Maintain paper supply and keep inventory of forms, stationary, and envelopes.
Provide and maintain University-wide IDs.
Registrar/Student Records Responsibilities
Assist with transcript requests for students associated with Regis and Aquinas College.
Assist with providing and collecting forms (i.e., add/drop, change of address, change of major, etc.).
Financial Aid Responsibilities
Collect verification forms, tax returns, financial documents, and award letters.
Collect and verify completion of work study contracts and other employment forms.
Answer questions concerning the completion of financial aid applications, loan applications, and loan counseling.
Transfer specific financial aid questions to the proper team member.
Student Accounts Responsibilities
Collect and issue receipts for check, money order, and voucher payments.
Communicate with students and families regarding account balances and holds.
Explain online payment process and help students and families navigate the website.
Provide students with proper website and deadline information to complete health insurance waiver or enrollment.
Provide payment plan information with Nelnet.
Receive scholarship information.
Answer basic questions concerning billing.
Transfer specific billing questions to the proper team members.
May supervise work study students in compliance with University policies and procedures.
Duties require knowledge of administrative skills equivalent to completion of a bachelor's degree and one to three years of related experience or equivalent combination of education and experience.
Working knowledge of current office procedures, practices, and equipment including the use of computers and the ability to keep up to date with technology.
Knowledge of computer software programs and applications for word processing and database management, including Datatel (Colleague) and Microsoft Office.
Excellent organizational and time management skills.
Ability to communicate effectively both verbally and in writing to establish positive public relations for the Center and to interact with a wide variety of people.
Diplomacy, tact, and knowledge of University operations.
Ability to prioritize and meet deadlines while working independently or collaborating in a team environment.
Ability to maintain confidentiality of sensitive information.

Working Conditions/Physical Demands
Normal office environment, not subject to extreme variations of temperature, noise, odors, etc.
May require work outside of normal hours, including evenings and weekends.
May spend extended periods at terminal, on telephone, or operating other office machines, requiring eye-hand coordination and finger dexterity.
Regular interruptions to assist staff, faculty, and students.
May require bending, lifting and carrying of mailing materials and office supplies.
