Rutgers, The State University of New Jersey is seeking a Management Assistant for the Office of Special Programs, within the New Jersey Medical School. Under the direction of the Special Assistant to the Executive Vice Dean, the Management Assistant will provide general administrative and management support within the Office of the Executive Vice Dean.
Among the key duties of this position are the following:
Responsible for timely follow-up of problems and questions and maintains a log and documentation of same.
Independently handles projects as assigned such as, but not limited to faculty development seminars, recommendation letters, and drafting of Dean's Letters for medical students.
Composes correspondence; creates and maintains databases, spreadsheets, and presentations.
Ensures confidentiality and security of all information housed in the office.
Responsible for processing check requests and travel reimbursement as it relates to the Office of the Executive Vice Dean.
Compiles and analyzes relevant data and material from a variety of sources for inclusion in reports or presentations to various audiences.
Minimum Education and Experience:
Two (2) years of experience involving the review, analysis, and evaluation of organizational and/or administrative practices in a business or government agency.
Required Knowledge, Skills, and Abilities:
Must be proficient in computer applications and web-based programs, such as MS Office products and MS Outlook.
Must demonstrate a high level of customer service, attention to detail, and organizational and problem-solving ability. Ability to maintain a high level of discretion and confidentiality.
Ability to perform job duties with minimal supervision, effectively prioritize work, multi-task, operate with a sense of urgency, and adjusts to changing workloads and deadlines.
Ability to present information and respond to questions from diverse groups of staff, faculty, students, and the general public. Must have excellent organizational skills, hold self-accountable to high standards of professional excellence, and be able to maximize resources on a continued basis.
Must have excellent interpersonal/human relations skills, excellent verbal and written communication skills, and the ability to maintain records and files.
Understanding in education management and web-based systems.
Proficiency in MS Office products; working knowledge of other databases.
Comprehensive knowledge of state and federal laws affecting students, institutional record requirements, and knowledge of accreditation standard.
Physical Demands and Work Environment:
Must be able to lift or exert force up to ten (10) pounds.
