ADMINISTRATIVE ASSISTANT 2 , Global Languages , to provide administrative support to the director of Global Languages and its operations. Will assist the director with administrative and academic matters and ensure the smooth operation of the Global Languages academic unit. Responsibilities include serving as the main administrative point of contact for communication to the director; complex calendar management for the director; supporting the director's administrative, research, and academic activities; arranging the director's domestic and international travel; coordinating in-person and remote events for domestic and international audiences, including logistics, advertising, and operations; assisting with purchasing, including getting quotes, following up with vendors, creating POs, and handling invoices and receipts; processing reimbursements for out-of-pocket expenses; processing travel reports; handling meeting arrangements, including booking rooms, ordering/picking up food, and setting up and closing rooms; picking up and/or distributing mail or documents/forms and assisting with time-sensitive mail and orders; maintaining physical space and space access; researching and gathering information; arranging information into presentations and drafting meeting minutes; maintaining filing systems; verifying and reconciling ProCard charges; greeting guests; and performing other duties as needed.
Job Requirements REQUIRED : high school diploma or its equivalent; at least three years' administrative experience; proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook), FileMaker, and Mac OS; proficiency using Zoom; ability to learn new programs/software as needed; attention to detail and quality; excellent organizational and communication skills; discretion with confidential information; and ability to interact with diverse groups of people, exercise good judgment, demonstrate flexibility, work independently and as part of a team, and handle multiple tasks concurrently.
