Essential Functions: Job PurposeProvides executive administrative support to Dean of the College of Education. Manages Dean's calendar, communications, special projects and administrative operations, leveraging emerging digital technologies to ensure efficiency. Facilitates faculty administrative services and resources on behalf of the Dean. Develops in-depth understanding of the College, University and all stakeholders in order to maintain strong and collaborative relationships. Reports to Dean, College of Education.Essential FunctionsManages the Dean's calendar, scheduling high volume and complex meetings, programming and events. Plans and tracks associated action items, following up with appropriate parties on behalf of the Dean to ensure deadlines are met. Independently resolves scheduling conflicts, prioritizes requests. Confirms meeting/event details and expectations for the Dean.Composes, finalizes and distributes communications on behalf of the Dean, including confidential and highly sensitive communications. Takes the lead in preparing agendas, talking points, presentations and other briefing materials to ensure the Dean has needed resources and is prepared for scheduled events, meetings and activities. Researches and summarizes relevant information and collaborates with others. Leverages various digital and emerging technologies to streamline communications. Plans, develops and implements assigned special projects and initiatives for the Dean. Assists in setting priorities and executing initiatives. Identifies effective online platforms and in-person venues and locations, on and off campus. Identifies coordinates and secures all logistical details and resources in collaboration with all appropriate parties. Conducts follow-up activities on behalf of the Dean. Screens and directs incoming requests, inquires, complaints and information on behalf of the Dean and handles independently as appropriate. Collaborates with others as needed to follow up and ensure successful outcomes and solutions. Anticipates and identifies pertinent information and issues, and advises the Dean as appropriate. Manages and facilitates faculty services and resources on behalf of the Dean's Office, including handling annual review, sabbatical, promotion, tenure and selective salary procedures and documentation, and other relevant faculty services as assigned.Manages administrative protocols and systems for the Dean, including travel, expenses, reimbursements, supplies, etc. in compliance with established policies and procedures.Performs other related duties as assigned.
Qualifications: MINIMUM QUALIFICATIONS:Education - Bachelor's degreeBachelor's degree in Business, Education Administration or a related field from an accredited college or university. Candidates with an equivalent combination of education and experience may be considered.Experience Intermediate (3 to 4 years job-related experience)Minimum 3 years experience providing executive administrative support. Demonstrated experience maintaining complex calendars, communications and projects. Demonstrated track record of using digital technologies to perform work duties efficiently.Experience Minimum five years in progressively responsible administrative or office management positions in support of organizational executives; in higher education preferred.Event planning experience preferred. Experience leading projects preferred.Knowledge, Skills and AbilitiesStrong analytical/problem-solving skills using sound judgment within applicable policy and procedural parameters. Able to utilize shared file drive platforms and advanced MS Office tools, with an emphasis on Outlook, Word, PowerPoint, Excel, and Teams. Proficient in conducting web-based activities and using diverse digital communication platforms. Excellent organization and time management skills with strong attention to detail and accuracy, and ability to prioritize multiple tasks and meet demanding timelines. Ability to work independently and as a team member.
