Cold Spring Harbor Laboratory, a world-renowned scientific research facility on Long Island’s North Shore, is searching for a professional individual to fulfill the Procurement Database Coordinator position. The individual will be responsible for maintaining current grant and administrative account information in the electronic purchase requisition system (RQ04) profile for each faculty member and department head.
Additional responsibilities include:
-Interfaces with research faculty and administrative department head to establish monetary levels for staff members delegated to have authority to approve online purchase requisitions. Responsible for the related (RQ02) system profile set-up and maintenance. -Coordinates electronic requisition user security clearance with the IT Business Systems Department. Responsible for the distribution of user IDs and passwords to the scientific and administrative community. -Responsible for the initial set-up and maintenance of the master database of supplies and equipment required by the research and administrative staff for online requisitioning. -Updates the Lawson-Infor Procurement module purchase orders upon receipt of all goods and services from suppliers, to enable on-time invoice processing by Accounts Payable. -Scan and electronically file all receiver documents to evidence receipt of goods and services per purchase order delivery. -Update the vendor profile files in Lawson-Infor database, including managing the flow of proper forms to and from vendors. Vendor profiles shall be updated every three years. -Other duties as needed and assigned by management.
EDUCATION: High School diploma, associate degree preferred.
EXPERIENCE: Minimum 3 years’ practical experience with the Lawson-Infor Procurement module or similar database; 5 years’ experience preferred.
KNOWLEDGE & SKILLS: Ability to manage time effectively. Excellent organization skills. Must have superior computer skills. Experience with ERP business system software. Experience with electronic purchase requisition system operation. Must be able to work independently and prioritize workload. Must be able to think on their feet and react to emergencies or User demands with professionalism and tact. Must be able to quickly learn the culture of CSHL and the policies of the Procurement department so that the Lawson-Infor ERP system is in compliance with all independent Audit Agencies. Excellent verbal skills are required to provide instructions and direction to the Lawson-Infor User community as well as ability to communicate with other Departments.
