What You Will Do
We are seeking a talented individual who can provide a high level of general administrative and clerical support for activities within the CCE Administration by serving as the first line of contact for individuals who contact the CCE Director's Office. Provide an exceptional level of customer service and assistance to diverse clientele by offering accurate and immediate up-to-date information and resources to inquiries. You will perform opening and closing procedures for the office. Specific duties include:
Providing calendaring, scheduling, and project support for the Associate and Assistant Directors.
Serving as the backup Assistant to the Director of Extension, including providing scheduling support, travel arrangements, document review, and special projects as assigned.
Managing a weekly inventory of supplies and receive requests for ordering special items for CCE Administration.
Ensuring the Business Service Center receives all necessary receipts with clear business purposes and proper accounts.
Preparing Qualtrics feedback surveys for selected webinars and events.
Providing logistical support, including venue selection, food arrangements, conference materials, and agenda distribution for selected events.
Answering primary phone lines for the department; directing callers to resources around campus and the county offices.
Independently respond to routine and non-routine mail and e-mail inquiries.
Collaborating with Human Resources to process academic offer and reappointment letters; serving as a resource for academic employees that need visas.
Providing assistance with MS Word, Excel, and other specialized CCE applications to staff members as needed.
Assisting with special projects from units within CCE.
Managing University Space Inventory for CCE Administration group.
What We Need
We are looking for an individual that excels at building relationships with multiple stakeholders. We need someone that has strong customer service skills with a focus on excellence. Additionally, we need someone who has:
High School Diploma and 2+ years of experience in an administrative setting, or the equivalent combination of education and experience.
Demonstrated experience with multiple computer software programs, i.e., the Microsoft Office suite and Adobe.
Excellent customer service skills.
Excellent oral and written communication skills.
Must be independent and a self-starter that can support the efforts of a team structure.
Ability to work well with a diverse group of people, including but not limited to faculty, staff, and students.
Able to work efficiently and effectively while working independently.
Must have the ability to multi-task and prioritize in a fast-paced environment.
Requires reasoning, analytical ability, creativity, and innovation in solving problems.
Ability to work harmoniously in a team environment.
Attention to detail and organization skills are critical.
Must have demonstrated ability to handle sensitive/confidential material in a highly professional manner.
Must exercise sound and ethical judgment when acting on behalf of the University.
If you possess these experiences and skills, this may be the role for you! There are a few other qualifications that we would view as incredibly helpful in this role, including:
4+ years of administrative experience.
Basic understanding of Cornell business procedures and policies.
Advanced experience with spreadsheets, databases, publication and/or web page design tools.
This position is full-time (39 hours/week) and will be located in Ithaca, New York.
