Rutgers, The State University of New Jersey, is seeking an Administrative Coordinator (Confidential) for the Institute for Health, Health Care Policy and Aging Research. The position provides executive level administrative assistance for the office of the director, including coordination for the Institute's anticipated faculty affiliates program and faculty working groups.
Among the key duties of this position are the following:
Manages administrative functions for the office of the Director.
Coordination related to recruitment of new faculty.
Creates and maintains current files and records; undertakes routine note taking, writing, and editing assignments; generates correspondence for review and signature.
Handles correspondence and inquiries; prepares accurate and prompt responses to correspondence and independently composes routine and non-routine correspondence.
Handles logistics for meetings and appointments in a timely and proficient manner.
Arranges travel for the Director and affiliated faculty where needed.
Coordinates the Director's schedule, and ensures proper preparation, briefings and materials in cooperation with appropriate staff to support the Director's participation.
Minimum Education and Experience:
Bachelor's degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of executive level office administration, work organization, coordination, facilitation, writing principles and practices, and analysis.
A minimum of two (2) years of administrative support or executive assistance.
Required Knowledge, Skills, and Abilities:
Ability to think critically, problem solve, organize and manage time effectively.
Excellent communication skills, written, verbal and listening.
Understanding of office management systems and procedures.
Ability to multitask and prioritize daily work.
Strong computer proficiency, including experience with database management programs.
Ability to communicate effectively across countries, cultures and time zones.
Ability to interface with international contacts, at various levels of government, academia.
Exceptional administrative, communication, technical and data management skills, and the ability to carry projects from beginning to completion.
A high level of professionalism, sophistication and efficiency is needed that requires handling multifaceted functions with faculty from many disciplines and partners internationally.
Background and experience in higher education, medicine or public health.
Experience with international programs.
Versed in multiple languages.
Microsoft office products (Outlook, Word, Excel and PowerPoint).
