The College of Agriculture and Life Science at Iowa State University is seeking applicants for an Administrative Specialist I or II position in the Department of Natural Resource Ecology and Management (NREM) to provide confidential, administrative support to the department and the Iowa Cooperative Fish and Wildlife Research Unit (Coop Unit) located within NREM.
For the Coop Unit, this position will be responsible for Federal Reporting for Unit activities, managing their Annual Meeting, assist managing a fleet of Federal vehicles, and making sure all of their students and technicians stay up to date on their safety training. This may require travel to their Federal location for further training. The remaining duties are to NREM. Core responsibilities include general reception, handling deliveries and key card requests, managing Surplus and EH&S requests, compiling quarterly and annual audit reports (keys, course fees, etc.), and and assisting with other tasks as needed in the main office.
The successful candidate will possess the ability to exercise independent judgement and discretion, the ability to maintain strict confidentiality, the ability to work under pressure with tight deadlines, skills to stay focused, organized, and calm when faced with stressful situations, and interpersonal communication skills to interface with a variety of constituents. Excellent computer skills and proficiency with MS Office Suite are essential for success in this position. All employees are expected to interact collegially and in a professional manner and maintain the highest standards of integrity and ethics.
Summary Provides administrative and clerical support to a department or group of professionals. Receives and responds to routine correspondence following established procedures.
Example of Duties â¢ Conducts basic research, gathers data, and prepares reports. â¢ Arranges calls and schedules meetings. â¢ Assists with making basic travel reservations and itineraries. â¢ Participates in regularly scheduled team meetings. â¢ Types correspondence, reports, or other documents. â¢ Edits documents for grammar, spelling, and punctuation errors.
Level Guidelines â¢ Entry level position acquiring job skills and learning standard operating procedures and policies to complete tasks â¢ Works under relatively close supervision and receives guidance on new work assignments â¢ Works on assignments which are routine in nature requiring limited judgment â¢ Refers difficult or less routine issues to supervisor or higher-level staff for assistance â¢ May provide guidance to students
