Department: NUQ Communication Program Salary/Grade: EXS/N11
The Administrative Assistant serves as secretary to the department at Northwestern University in Qatar, performing duties such as preparing correspondence, providing general office support, and providing telephone and reception area services supporting NU-Q. The position schedules meetings, manages multiple projects and databases, and coordinates with the corresponding central administration office and the Qatar Support Office in Evanston. Working with both the Program Director and directly with faculty, the Assistant schedules meetings, coordinates projects, reconciles financial accounts for the department, and organizes travel and events arrangements as needed, among other activities. The position performs a variety of professional functions that require developing a thorough working knowledge of NU and NU-Q policies and procedures.
Please Note: This is an overseas position in Qatar, Middle East. All final candidates will undergo a comprehensive background check.
Assisting in general correspondence and mail
Assisting the director with travel and event arrangements, including providing assistance in paperwork for reimbursements
Copying, filing faxing, answering phones, and scheduling meetings
Serving as the initial contact for the department by responding to faculty, staff and visitors.
Directing guests and providing information about the department
Managing the director's calendar and schedule
Performs other duties as assigned.
Bachelor's degree or equivalent combination of training and experience
2 years’ work experience in an administrative setting
Strong computer and communication skills, especially with word processing and spreadsheets

Excellent verbal and written communication skills in English
Strong organizational and planning skills
Demonstrated adaptability, dependability, efficiency and professionalism
Ability to handle multiple tasks simultaneously while setting and achieving deadlines
Existing State of Qatar resident
Experience working in higher education setting

Extensive knowledge of Doha, and US and Qatari culture
