This full time, benefits eligible position provides institutional leadership for event management with a high emphasis on communication, collaboration, marketing and finance. This position will start August 1, 2021.
Coordinates logistics for external meetings, events, camps and conferences. Ascertains needs of clients and proactively makes recommendations on best utilization of university facilities and resources to achieve event goals. Coordinates all aspects of event management; this includes electronic and oral correspondences and in-person meetings. Ensures event success and safety by making advance and on-site event decisions autonomously, oftentimes in high-stress, time-sensitive situations.
Manages one-stop shop reservation process for wedding ceremonies and receptions by executing Agreements on behalf of the University; coordinating all logistics for wedding services including facility reservation, room set up, on-site staffing, catering orders, vendor deliveries, sound and audio-visual equipment requests, and parking; and negotiates food and beverage prices and services on behalf of the client and catering services.
Executes problem-solving skills to solve complex event management logistics and advises constituencies on strategic resource management practices.
Develops and maintains critical partnerships with campus and external entities.
Enhances customer service experiences, reservation and resource efficiency, and campus marketability by creating and assessing policies and processes for external reservations; making determinations for revisions and implementing changes; and developing strategic long-term goals centered on event management.
Manages the recruitment and hiring process for summer full-time student workers; provides supervisory leadership for up to 10 full-time student employees each summer
Bachelor’s degree required
Minimum of 2 years’ related event coordination experience
Irregular weekly work schedules and several required weekend and evening hours.
Position requires ability to stand and/or walk for several hours while providing tours, directing camp check-ins, and monitoring events.
