The Talent Coordinator is a new role and will support the new Talent Acquisition and Employee Engagement area in Human Resources. This new role requires a strong commitment and ability to deliver high-level customer support to a diversity of internal and external customers; strong administrative skills and solution-orientation; ability to shift priorities seamlessly as well as manage and organize multiple projects and tasks in a fast-paced and changing environment.

The Talent Coordinator will support HR's involvement in the Employee Resource Groups (ERGs) and other programming related to diversity and inclusion.
Primary/Principal Responsibilities: % of Time Responsibility:
60% Talent Acquisition Responsibilities: Manages the University's applicant tracking system (ATS) and providing support. This includes learning how to navigate the system, staying current on features, ensuring requisitions are organized, new features deployed, and testing and updating procedures.
Provides support to hiring managers and search teams on navigating the ATS. Will maintain and update how-to guides. Will post positions, provide access to search team members. Will ensure user access list is updated routinely. Provides training to hiring managers and search teams on the dispositioning process and ensures applicants are properly dispositioned.
Will also provide training on using the interview scheduling feature. Will provide support to applicants and ensure inquiries are answered on a timely and consistent basis. Ensure accurate and timely recordkeeping of full recruiting cycle including, but not limited to a complete record of each stage of the process from application, through hires are recorded in ATS for searches.
Advertise positions using the University's advertising partners. Will work with director and source hard to fill positions. Will screen resumes for minimum and preferred qualifications using the ATS feature. Will ensure advertising for each position is tracked in the ATS for reporting yield and diversity outreach.
Ensure HR Talent Acquisition, and Employee Engagement Website is accurate and maintained with up-to-date information.
20% Employment: Main HR contact for the SkillSurvey reference checking process and the background checking process includes entering, monitoring, supporting new employees with any issues or inquiries, and emailing hiring managers the results. Escalates any issues to the director.
Main HR point of contact for onboarding processes. Using the University's Workday system creates new employee records and ensures a smooth onboarding process for new hires. The main contact for I-9, background checks, and e-verify compliance.
Support staff and College of Arts and Sciences, Law School, and Business school faculty immigration processes. This includes posting and recordkeeping.
Main HR contact for recordkeeping of all employment-related records, both electronic and paper, and maintaining the off-site record archiving process. Run monthly reports from various systems. Works with the director on auditing records on a routine basis (weekly and monthly audits.) Prepares key performance indicators and metrics reports on a routine basis for internal review.
Main HR point of contact for processing unemployment claims and reconciliation of monthly unemployment bills.
Process union (adjunct and police) dues forms, ensuring accurate and complete records are provided to Payroll regularly.
10% Employee Engagement: Assigns mandatory training to new employees and tracks completion. Escalates to the manager if training is not completed within sixty days of the first day of work.
Assist with organizing, preparing announcements (using Constant Contact), and recordkeeping of training and workshops. This includes workshops for Hiring Managers across the organization on best practices for interviewing and recruiting and a variety of other topics.
10% General HR Support: Manage the HR inbox, including responding to emails promptly with complete and accurate information. Ensure all applicants and customers receive high-quality service. Will triage issues and may refer to specialists within the HR team (benefits, et al.) as appropriate. Will answer HR's main phone line.
Process transactions (parking subsidy) using ServiceNow. Main HR contact for processing supplier invoices, ordering supplies, and placing orders for flower arrangements for employees graduating, condolences, and other recognition.
Provide support for retiree group SURF which includes but is not limited to maintaining the member directory and event planning.
Will provide support for Chief HR Officer as requested.
Participates in special projects and ad hoc assignments as directed.
Requirements/Qualifications: * Bachelor's degree or equivalent work experience required * Ability to communicate effectively, both in writing and orally * Ability to establish and maintain effective working relationships with employees at all levels throughout the University * Demonstrated commitment and ability to advance diversity and inclusion. * Must be proficient in the Microsoft Office Suite, including Outlook, Excel, and Word, and become proficient with additional HR systems * Must be dependable, detail-oriented, and flexible, organized, willing to learn, possess the ability to multi-task, and have a professional demeanor * Ability to use good judgment and discretion in handling confidential materials * Ability to work independently without close supervision * Exceptional proofreading; strong attention to detail; a commitment to accuracy * Very adept at handling multiple tasks and working well within deadlines * Standard University business hours 8:45 AM-4:45 PM
